About The Position

The position involves ensuring the consistent and efficient operation of medical office schedules, hospital call rotation, and special procedure and/or operating room assignments for primary care departments across multiple locations. Responsibilities include coordinating physician schedules, preparing monthly provider schedules, entering data into the regional CARE System, and distributing master schedules to relevant personnel. The role also requires monitoring schedule changes, maintaining equitable call schedules, and ensuring compliance with departmental policies and procedures.

Requirements

  • Minimum of two (2) years recent direct experience demonstrating computer literacy.
  • Minimum two (2) years recent experience on a computerized appointment system or equivalent experience.
  • Ability to understand and communicate effectively and diplomatically with all levels of personnel.
  • Adaptability to constant schedule changes and modifications.
  • Ability to perform multiple tasks in a heavy workload environment.
  • Master scheduling experience.
  • Physician payroll experience.
  • Ability to meet scheduling deadlines.
  • General knowledge of organizational procedures.

Responsibilities

  • Ensures the consistent and efficient operation of medical office schedules and hospital call rotation.
  • Coordinates departmental physician and physician-extender schedules.
  • Initiates, prepares, and implements monthly provider schedules for various departments.
  • Enters data into the regional CARE System program.
  • Distributes provider master schedules to providers and medical office administration.
  • Coordinates all departmental master schedule changes.
  • Computes worked and non-worked physician hours bi-monthly.
  • Compiles each physician's bi-monthly payroll.
  • Completes a Regional Positive Time Report for each physician.
  • Coordinates physician and physician-extenders monthly medical office schedule.
  • Makes appropriate schedule changes to maintain optimum appointment levels.
  • Develops a check and balance system for schedule changes.
  • Maintains and balances an equitable call schedule within the department.
  • Prepares and maintains holiday call schedules for physicians.
  • Confirms physician time against master schedules and actual CARE appointments.
  • Independently prepares and maintains medical office schedules for multiple providers.
  • Implements and expedites schedule changes and coordinates absences.
  • Develops physician and physician-extender profiles for new providers.
  • Monitors and controls physician overtime and obtains authorizations for callbacks.
  • Conducts orientation with new providers regarding scheduling responsibilities.
  • Establishes and maintains appropriate department files and records.
