About The Position

We are seeking a friendly, organized, and detail-oriented Physical Therapy Receptionist to join our team. The receptionist is the first point of contact for patients and plays a vital role in ensuring a smooth and welcoming experience. Responsibilities include scheduling appointments, managing patient records, handling insurance verifications, and supporting the physical therapy staff with administrative tasks. Candidates will be courteous, articulate, reliable and must be able to multi-task in a busy, professional, fast-moving environment while maintaining excellent customer service. Requirements

  • High school diploma or equivalent (required)
  • Proficient with EMR/EHR systems and scheduling software
  • Excellent customer service, multitasking, and time management skills
  • Strong attention to detail and ability to work independently and as part of a team

Nice To Haves

  • Prior experience in a medical or physical therapy office, especially in orthopaedics or rehabilitation (strongly preferred)
  • Working knowledge of insurance plans, authorizations, and referrals (including workers' compensation and auto claims)

Responsibilities

  • Greet patients warmly and professionally, both in person and over the phone
  • Schedule and confirm patient appointments using electronic scheduling software
  • Check patients in and out, ensuring all necessary paperwork is completed
  • Collect co-pays and payments; process billing as needed
  • Verify insurance coverage and obtain prior authorizations when necessary
  • Maintain patient confidentiality and comply with HIPAA regulations
  • Answer phone calls, respond to inquiries, and direct calls appropriately
  • Keep the front desk and waiting area clean and organized
  • Communicate with therapists and other staff to coordinate patient flow
  • Perform general administrative tasks such as filing, scanning, and data entry
  • Ensure all required paperwork, including intake forms and consent documentation, is accurately completed
  • Obtains benefit information and referrals/authorizations if necessary
