The Coordinator for the Physical Therapy Department is responsible for reconciling inpatient Physical Therapy (PT) and Speech Therapy charges. This role provides support to the Director as needed and assumes responsibilities in the Director’s absence. Key responsibilities include collecting and maintaining Performance Improvement data, as well as preparing related reports and graphs. The Coordinator assists with inpatient scheduling and overall schedule management. Additionally, this position is responsible for training the PT Aide in clerical duties and managing departmental needs related to supplies and equipment. Ensures the department functions at a high level in the absence of the Director; escalates issues appropriately when needed. Assists with Epic training for all staff. Trains the Physical Therapy (PT) Aide in clerical duties. Trains the PT Aide in patient scheduling, list management, charge reconciliation, and statistical data collection. Reconciles Physical Therapy charges against the Posted Charges Report on a regular basis and notifies appropriate staff to correct discrepancies. Reconciles Speech Therapy invoices monthly against the Posted Charges Report upon receipt from contracted Speech Therapy services; reviews work queues for claim edits and makes necessary corrections. Manages the Inpatient Daily Treatment Schedule as needed, including assigning treatments and evaluations to therapists. Answers phone calls, takes messages, and responds to Secure Chats requiring a Physical Therapy response. Compiles Performance Improvement (PI) and other program evaluation data in a format suitable for analysis by the Director of Service and administrative/management staff. Tracks office and departmental supplies and notifies the Director when reordering is necessary. Completes training and maintains certification as an Epic Super User. Sets up therapists’ Epic dashboards, toolbars, and patient lists; provides support for system-related issues. Enters brace charges into patient accounts. Demonstrates a clear understanding of Physical Therapy department operations, including treatments and procedures. Prepares Performance Improvement graphs for reporting purposes. Provides exemplary customer service and performs all duties in alignment with departmental customer service goals. Identifies customer service concerns, resolves issues, or initiates appropriate follow-up, including service recovery efforts when needed. Completes projects assigned by Management promptly and accurately. Demonstrates understanding of and compliance with the hospital’s Mandatory Education Program. Adheres to Fire and Safety protocols, demonstrating knowledge of procedures outlined in the hospital’s fire and safety manual. Consistently follows Infection Control practices. Manages multiple tasks effectively while maintaining a high level of customer service. Performs additional coordination responsibilities as needed. Performs other related duties as assigned or requested by the Director.
