About The Position

The Marketing & Communications Coordinator plays a key role in advancing Meta House’s philanthropic, marketing, and public awareness goals by coordinating and executing strategic communications initiatives. This position supports the Director of Philanthropy & Marketing in the development and leads the implementation of the organization’s integrated communications plan, producing compelling content that supports fundraising, donor engagement, and program visibility while ensuring consistent brand representation across all internal- and external-facing materials. This role works collaboratively with the Philanthropy & Marketing team, program leadership, Marketing Committee, and external vendors.

Requirements

  • High School diploma or equivalent - Preferred 4-year degree in Human Service, Communications, Nonprofit Management, Marketing, Advertising, Journalism, or similar field
  • 2 years of experience in communications, marketing, social media, nonprofit management, or similar role
  • Knowledge, Skills, and Abilities (KSA's) Required
  • Attention to detail and commitment to accuracy in all tasks
  • Manage overlapping projects with accurate tracking of details
  • Ability to work effectively with people
  • Ability to demonstrate a mature approach to problem solving
  • Organizational and planning skills
  • Computer skills including proficiency in Word, Excel, and other applications
  • Excellent written communication skills
  • Ability to work independently and within the confines of deadlines
  • Fluency with InDesign, Canva, and/or other design software
  • All Meta House staff are required to provide proof of vaccination for MMR, Varicella, and annual flu shot.
  • Adherence to a non-smoking work environment.
  • Able to: Occasionally work nights and/or weekends
  • Tolerate occasional hot or cold days.
  • Sit or stand for extended periods of time including alternating sitting or standing at will.
  • Lift and carry up to 25 pounds on a regular basis and 40 pounds on occasion.
  • Ascend and descend stairs using feet and legs, occasionally while carrying up to 25 pounds.
  • Bend, stoop, twist, squat, and kneel to perform essential functions.
  • Reach overhead, and at or below shoulder level.
  • Read and enter text or data into a computer or other system.
  • Seize, hold, grasp, turn, or otherwise work with hands.
  • Touch, pick, punch or otherwise working with fingers.
  • Hear, understand, and distinguish speech and/or other sounds in order to communicate with clients and/or colleagues.
  • Express or exchange ideas by means of spoken word to impart oral information to clients or the public and convey detailed spoken instructions to others accurately, loudly, or quickly.
  • See clearly at approximately 20 inches or less including use of computers or tablet.
  • Visually identify clients and others for reasons including, but not limited to security, presence in the building, and medication dispensing.
  • Valid Wisconsin driver’s license required.
  • Employees who, as part of their regular duties, transport Meta House clients to and from meetings or appointments in their personal vehicle must carry and maintain proof of current Wisconsin automobile liability insurance coverage at or above the minimum state requirements.
  • Employees must present proof of insurance (insurance card or electronic equivalent) upon request by Meta House.

Responsibilities

  • Communications & Marketing Drafts, designs, and coordinates production of communications materials, including the annual report, marketing collateral, social media/digital marketing campaigns, e-newsletters, donor cultivation letters, fundraising appeals, sponsorship packets, and client impact stories.
  • Develops key messaging and communications assets for fundraising events and donor cultivation activities, including event programs, promotional flyers, invitations, scripts, presentation slides, and sponsorship materials.
  • Collaborates with clinical leaders to identify suitable clients for storytelling initiatives, draft compelling client success stories, and prepare selected clients for public speaking engagements
  • Serves as lead communications liaison for professionally produced event video(s)
  • Digital Communications & Website Creates and manages digital communications across social media and web platforms to support donor engagement, fundraising, and public awareness.
  • Serves as primary owner of agency website, ensuring a positive, informative, and accessible user experience for key audiences, including current and prospective clients, donors, partners, and the general public.
  • Optimizes website content and structure for searchability and discoverability, including basic search engine optimization to increase visibility and engagement.
  • Coordinates with external vendors on website enhancements, as needed.
  • Committees & Events Serves as the primary liaison to the Marketing Committee and supports committee initiatives.
  • Supports communications needs for fundraising and cultivation events, including messaging, materials, scripts, and post-event communications.
  • Represents Meta House at community-facing events and furnishes staff with current marketing materials.
  • Department Support Maintains organized documentation of communications files, templates, and messaging resources.
  • Assists with Philanthropy & Marketing Department-led volunteer events and special projects as needed.
  • Coordinates with vendors, designers, printers, and digital platforms to execute communications projects.
  • Occasional night and weekend availability required.
  • Other duties as assigned.
