About The Position

The Pharmacy Business Office Specialist supports daily pharmacy billing and revenue cycle operations by preparing, verifying, correcting, and submitting electronic insurance claims in accordance with state, federal, and payor requirements. This role ensures accurate posting of payments, timely resolution of billing discrepancies, and proper maintenance of accounts receivable and related financial documentation. The position may also assist with clerical, receptionist, and general business office functions to support smooth pharmacy operations. This role is ideal for a detail‑oriented billing professional with experience in pharmacy, healthcare, or medical claims processing who thrives in a fast‑paced environment and is committed to accuracy, compliance, and exceptional service.

Requirements

  • High school diploma required; college coursework or a degree in office administration or business preferred
  • Minimum 2 years of experience in a business office, pharmacy billing, medical billing, payment posting, or collections environment preferred
  • Strong computer literacy and ability to learn new systems
  • Proficiency in math, data entry, and written communication
  • Ability to manage multiple tasks in a fast‑paced, deadline‑driven environment
  • Ability to read, write, and speak the English language fluently

Responsibilities

  • Register patients in the pharmacy patient accounting system and assign appropriate payor types
  • Review claims for accuracy, perform required edits, and submit or rebill claims electronically to ensure timely filing and payment
  • Request additional information from patients, insurance carriers, pharmacy staff, and internal departments to resolve claim issues
  • Post payments and adjustments to patient or facility accounts using correct payment/adjustment codes
  • Update payor information, change payor types, and adjust account priorities to ensure accurate posting
  • Prepare and maintain accounts payable, accounts receivable, and payroll documentation
  • Prepare and deliver bank deposits
  • Compile daily, weekly, and monthly reports as required by the Supervisor, Manager, or Director of Pharmacy
  • Answer incoming calls promptly and professionally
  • Maintain inventory of office supplies, forms, and administrative materials
  • Maintain knowledge of billing regulations, payor guidelines, and compliance requirements
  • Adhere to internal controls, state/federal laws, accreditation standards, and health plan requirements
  • Participate in Business Office and Pharmacy meetings
  • Seek guidance as needed to ensure accurate understanding of billing processes and regulations
  • Ensure patient and resident safety at all times
  • Perform other duties as assigned
