About The Position

Coordinates facility resources, applicable supplies, and the necessary participants for meetings/ workshops Manage the absence management system for the District Collects and manages mail and faxes in an efficient and effective manner Establishes and maintains databases as required Collects data and assimilates as necessary Prepares reports and assists with projects as necessary Prepares memorandums and other correspondence as necessary Assures that policies, procedures, and standards are followed in accordance with local, state, and federal guidelines Serves as a primary point of contact for the personnel department. Oversees the maintenance of the daily operations of the personnel office; creates and develops avenues of communication for all related constituents Maintains applicable electronic databases, files, and programs as directed Assist in the filing of applicable reports to Local, State, and Federal Governments, to include any applicable constituency group Provide assistance to the Personnel Dept. as needed Maintain updates and inputs new data on administrators, teachers, substitutes, and schools Gathers and disseminates appropriate information for the hiring of all school system personnel Assist with the certification of substitutes as required by Alabama Law Maintain ability to submit E-Verify's on all school system personnel Serve as recording secretary for the school board policy committee. Assist with website maintenance This position will be subject to the Students First Act of 2011. Madison City Schools reserves the right to fill this position by transfer of a qualified applicant who is already employed by Madison City Schools. Under the Students First Act of 2011, no credit toward tenure or non-probationary status is earned in the initial school year of employment if the date of hire occurs after September 30. Expected Employment : 240 days/ 8 hrs. (full year) Evaluation : According to established Board policies and administrative procedures and guidelines. Salary Range: According to Madison City Schools Salary Schedule (Salary based on employment for complete year). Up to 10 years experience will be counted for new employees who provide documentation of full-time experience in the area of concentration. Requirements

  • High School diploma or GED
  • Organizing and coordinating skills
  • Knowledge of organizational structure, workflow, and operating procedures
  • Ability to keep business matters confidential
  • Ability to type 60 words per minute
  • Proficiency in Microsoft Word and Google Suite programs
  • Ability to speak with individuals in a pleasant and courteous manner in person and on the phone
  • Ability to create, compose, and edit written material
  • Ability to organize materials and maintain accurate records
  • Ability to distribute documents in an efficient manner
  • Ability to maintain and establish effective relationships within the workplace
  • Physical and emotional ability and dexterity to perform required work and move about as needed in a fast-paced, intensive environment
  • Skills in organizing resources and establishing priorities
  • Knowledge of structure, policies, and procedures of a large organization
  • Ability to coordinate and organize meetings and special events
  • Seasoned professional secretary to manage multiple priorities and to interact with a variety of people, professionals, and organizational entities.

Nice To Haves

  • Clerical experience preferred
  • Microsoft and Google Suite experience preferred
