Riggs Distributing, Inc. is a luxury appliance distributor based in Burlingame, California. We distribute Sub-Zero, Wolf, Cove, and Best Hoods appliances throughout Northern California, Western Nevada, and Hawaii. This role provides confidential personal and administrative support to the CEO, with a strong emphasis on bookkeeping, financial coordination, and personal account management. The position requires a high level of trust, discretion, accuracy, and the ability to work independently while managing sensitive personal and financial matters. This is a part-time position supporting the CEO directly and coordinating with external accountants, financial institutions, and internal Accounts Payable as needed.

Requirements

  • A minimum of 5 years’ experience providing personal or executive-level administrative support
  • Bachelor’s degree preferred but not essential if individual can demonstrate more than 5 years’ experience in supporting high level executives
  • Strong bookkeeping and financial reconciliation experience
  • Proficiency in QuickBooks
  • High attention to detail and organizational skills
  • Strong computer skills particularly Microsoft office (Word, Excel and PowerPoint), Outlook and internet/Web search
  • Ability to work independently and manage confidential information with discretion
  • Professional judgment when handling sensitive personal matters
  • Excellent spelling, punctuation, grammar and other English language skills
  • Must have a clean driving record

Responsibilities

  • Pay invoices for personal properties, including utilities and property taxes
  • Receive monthly mortgage statements and enter transactions into QuickBooks
  • Balance personal bank statements in QuickBooks by the 10th of each month
  • Deposit incoming checks into appropriate accounts and log transactions in QuickBooks
  • Prepare Profit & Loss reports in QuickBooks each February for annual tax reporting
  • Maintain organized financial records and documentation for annual tax preparation
  • Ensure all tax-related documents are complete and ready for submission to external accountants
  • Reconcile personal credit card statements each month
  • Submit business-related expenses to Accounts Payable for reimbursement
  • Review and forward membership invoices for payment
  • Process wire transfers for personal transactions
  • Process wire transfers for business-related transactions (investments, mortgage deposits)
  • Print and organize financial statements.
  • Provide copies of financial statements to the CEO as requested
  • Maintain well-organized and up-to-date filing systems (digital and physical)
  • Track, organize, and safeguard sensitive personal and financial documents
  • Support ad hoc personal and administrative projects as requested by the CEO
