About The Position

Helpful Hearted Providers Inc. is a mission-driven organization supporting individuals with developmental disabilities. We are seeking a dependable, organized, and detail-oriented Personal Assistant / Administrative Assistant to support daily administrative, coordination, and logistical tasks. The Personal Assistant / Administrative Assistant provides full-time administrative and operational support to leadership and staff. This role requires strong organization, attention to detail, professionalism, and the ability to handle sensitive information. The position also includes driving for work-related tasks such as picking up medications and delivering items to client locations while maintaining accurate documentation and inventory records. This is a full-time, hourly position with a consistent weekday schedule and benefits.

Requirements

  • Strong organizational and time-management skills
  • Clear written and verbal communication skills
  • Proficiency with Google Workspace, including Google Docs, Google Sheets, and Google Drive
  • Ability to create and maintain spreadsheets, logs, and organized digital files
  • Ability to work independently and follow instructions
  • Ability to handle sensitive and confidential information appropriately
  • Valid driver’s license
  • Reliable access to a personal vehicle
  • Comfort with regular local driving during the workday
  • Ability to safely transport work-related items, including medications

Nice To Haves

  • Prior administrative, assistant, or office support experience
  • Experience with inventory tracking, documentation, or logistics
  • Familiarity with healthcare, human services, or compliance-based environments

Responsibilities

  • Manage emails, phone calls, scheduling, and calendar coordination
  • Organize and maintain digital and paper records
  • Create, update, and maintain spreadsheets, logs, and documents
  • Assist with documentation, tracking logs, and reports
  • Support onboarding paperwork and internal communication
  • Assist with special projects and day-to-day operational needs
  • Run work-related errands as needed
  • Pick up medications from pharmacies and deliver to client locations
  • Organize and sort medications accurately by client
  • Maintain medication inventory logs and required documentation
  • Ensure timely, accurate, and confidential handling of all items
  • Maintain confidentiality at all times
  • Follow established procedures and documentation requirements
  • Communicate clearly and promptly with supervisors and team members
  • Exercise sound judgment, attention to detail, and reliability
