About The Position

The purpose of this position is to provide general support for department activities and services along with providing citizens and contractor with information relating to the permit process. This is accomplished by answering the phone and taking messages, answering questions and providing assistance and information, processing permit applications both at the counter and on-line, preparing reports and payment requests, gathering and preparing information for staff use, generating orders for services, coordinating related program activities, issuing permits, and completing related miscellaneous tasks. Additional duties include processing documents, payments and invoices, entering data, maintaining inventories, opening and distributing mail, interacting with citizens and contractors, filing, maintaining department records, and processing plans for review.

Requirements

  • Must be able to obtain Permit Certification within one year of hire.
  • Pre-employment test keyboarding (typing speed) minimum score is 45 wpm.
  • Work requires knowledge necessary to understand basic operational, technical, or office processes. Level of knowledge equivalent to four years of high school or equivalency.
  • Over one year up to and including two years

Responsibilities

  • Assists callers by answering the phone, taking messages, and referring callers to the appropriate department or individual.
  • Provides clerical support by assisting patrons or customers, providing general or specific information, processing applications for permits, taking payments, assisting contractors with information related to the permit process, researching information, compiling information, maintaining general office records which could include time and attendance, processing the mail, and assisting with other services.
  • Prepares and distributes department documents by compiling and reviewing information, presenting information for review and approval, completing reports and distributing to appropriate departments or parties.
  • Maintains department inventories by reviewing items on hand, assisting with purchases, and ordering general supplies.
  • Supports the work of other clerical support staff, volunteers or interns, by acting as a lead worker, training employees in routine office functions and monitoring progress.
  • Regular and reliable attendance in compliance with given schedules is a mandatory requirement of this position. Schedules may be subject to change with or without advance notice.
