Position Overview The Permit Coordinator is responsible for supporting project teams by managing the end-to-end permitting process for assigned projects. This role works closely with Project Managers, Supervisors, clients, and local/state jurisdictions to ensure permits are accurately prepared, submitted, tracked, and approved in a timely manner.

Requirements

  • Strong organizational and time-management skills with the ability to manage multiple permits and deadlines simultaneously.
  • Excellent written and verbal communication skills, including professional interaction with government agencies and clients.
  • Detail-oriented with a high level of accuracy in document preparation and tracking.
  • Proficiency with software tools, online permitting portals, spreadsheets, and document management systems.
  • Ability to research regulations and interpret jurisdiction-specific permitting requirements.
  • Collaborative mindset with the ability to work effectively across teams.

Nice To Haves

  • Previous experience in permitting, construction administration, project coordination, or a related field.
  • Familiarity with local and state permitting processes.

Responsibilities

  • Support and execute project-level permitting requests as assigned by Project Managers.
  • Collect, review, and organize required documentation from internal teams and external sources (including clients) to complete permit applications.
  • Prepare and submit permit applications to local and state government agencies using required software systems, online portals, and email.
  • Monitor the status of submitted permit applications and proactively communicate timelines, updates, and estimated approval dates to Project Managers and stakeholders.
  • Contact and communicate with local jurisdictions to verify permitting requirements, confirm application details, and ensure alignment with current regulations, including identifying additional forms, inspections, or fees.
  • Conduct permitting research to validate online information and jurisdiction-specific requirements for each project.
  • Maintain accurate, up-to-date permit trackers, databases, and file storage systems to ensure visibility into permit status and documentation.
  • Ensure all permitting records are properly filed and accessible for audit, compliance, and project reference.
  • Collaborate with Project Managers, Supervisors, and cross-functional teams to resolve permitting issues and prevent project delays.
  • Identify risks or delays in the permitting process and escalate concerns as needed.
