About The Position

As the Office Administrator at the Child Development Center, you will collaborate closely with the Director and Director of Curriculum to ensure smooth daily operations. In this role, you will provide essential administrative and classroom support while helping cultivate a positive, supportive school community.

Requirements

  • Bachelor’s degree from an accredited institution or actively working toward degree completion.
  • Minimum of two (2) years of administrative or classroom experience

Responsibilities

  • Substitute Teacher: Fulfill the duties of the absent teacher, including delivering lessons according to a prepared plan. Also, provide daily classroom coverage for staff during their breaks.
  • Instructional Assistant Support: Provide coverage and direct modeling for instructional assistants to improve their skills in routines, transitions, health and safety practices, and teacher-child relationships.
  • Communication Management: Answer phones, manage general emails, greet families and visitors, and handle general inquiries.
  • Record Keeping: Maintain the integrity of enrollment records, student records, staff files, and other essential documentation, both in paper and electronic formats. Examples include paper copies of student and staff information, ProCare attendance and records, licensure files, fire drill logs, registration documents, and health forms.
  • Scheduling and Coordination: Assist with planning and executing school events and handle other logistical tasks. Examples include parent-teacher conferences, open houses, celebrations, and cross-departmental projects.
  • Supply Management: Monitor inventory and manage school resources, including maintaining consumable supply inventories and resource room materials.
  • Financial Administration: Provide accurate assistance with tuition management. Examples include ProCare and Bursar systems.
  • Data Entry and Reporting: Input data into school systems, generate reports, and prepare required documents. Examples include ProCare attendance records, financial data, child information, and family contact details.
  • Compliance: Ensure adherence to procedures and relevant regulations, such as licensure information and NAEYC accreditation standards.
  • Providing Administrative Support: Assist teachers and staff with administrative tasks, such as copying, printing, and preparing materials. Examples include cubby labels, name cards, and student photos.
  • Communication with Parents/Guardians: Respond to inquiries, provide general information, and relay important updates.
