Role Overview We’re seeking a sharp, organized, and calm-under-pressure Performance Coordinator to support our performance team. Reporting to the Lead MoMo Performer, this role will manage day-to-day flow on the performance floor, prepping materials, communicating between departments, and ensuring performers have everything they need to deliver high-quality work on schedule. This coordinator will work closely with the Director, Stage/Camera teams, Editorial, and Production to maintain clarity, structure, and readiness across all performance operations. You’ll be the central hub for schedules, assets, performer needs, and stage logistics.

Requirements

  • 2+ years in animation, VFX, or film production—preferably in a coordinator or editorial support role.
  • Strong understanding of pre-production and editorial workflows.
  • Excellent organizational, communication, and time-management skills.
  • Proficient in production tracking tools (e.g., ShotGrid, Airtable) and Avid (or willing to learn).
  • Confident working across teams and departments with a proactive, solutions-first mindset.

Nice To Haves

  • Familiarity with storyboarding, editorial timelines, and script revision tracking.
  • Experience with voice recording coordination or script prep.
  • Knowledge of production file naming conventions and version tracking.

Responsibilities

  • Collaborate with the Lead MoMo Animator to maintain an organized, production-ready environment for performance teams, directors, and editorial.
  • Manage the performance schedule; track daily progress of scenes, sequences, and performance materials to ensure on-time delivery.
  • Monitor readiness of scenes, puppets/characters, sets, cameras, and key materials needed before a sequence enters performance review.
  • Coordinate the Director’s performance-related schedule—including briefings, pitches, reviews, and internal updates.
  • Support in managing flow on the performance floor, adjusting schedules as needed when issues arise.
  • Serve as the primary communication bridge between Performance, Story, Editorial, and Production.
  • Work with Editorial to ensure storyboards, thumbnails, and sequence builds are properly prepped and imported for review.
  • Track Director and Editorial notes; ensure updates and fixes are scheduled and delivered on time.
  • Schedule and facilitate performance reviews, sequence screenings, and cross-team sync meetings.
  • Take detailed, accurate notes during Director sessions and distribute action items across relevant departments.
  • Attend internal and Executive Reviews, summarizing department progress, needs, and next steps in production reports.
  • Coordinate with other department managers and coordinators (Editorial, Story, Art, Stage/CG) to prevent workflow bottlenecks.
  • Track the status of performance-related resources such as puppets/assets, props, scene setups, and required reference materials.
  • Support budget tracking, planning, and departmental organization under the guidance of the Production Manager.
  • Uphold all Health & Safety protocols on set, stage, and production floors.
