About The Position

Ladder Health is reimagining early childhood developmental care by delivering proactive, holistic, and family-centered support for children with or at risk of developmental delays. Built in collaboration with Boston Children’s Hospital, our virtual-first care model brings together expert clinicians (PT, OT and SLP), thoughtful technology, and a powerful belief: that every child deserves the chance to thrive. We partner with pediatricians, health systems, and payers to close access gaps and offer personalized care for families across the developmental spectrum, meeting them wherever they are, whenever they need us. We’re looking for a Referral Coordinator to join our fast-growing team. In this per-diem role, you’ll support the critical administrative workflow of referral entry that enables families to begin care quickly and smoothly. This role has the potential to grow to include additional responsibilities, including prior authorization submissions and front office support for our virtual clinic. You’ll work closely with our Healthcare Operations and Clinical teams to ensure we are efficiently onboarding patients and delivering a high-quality experience for every family we serve. This is an ideal role for someone who is detail-oriented, organized, empathetic, and excited to work in a mission-driven, startup environment.

Requirements

  • 2+ years of experience in a medical front office, referral coordination, billing, or prior authorization role (required)
  • Strong familiarity with pediatric outpatient services, especially PT/OT/SLP (preferred)
  • Highly organized and detail-oriented, with excellent written and verbal communication skills
  • Outstanding customer service and communication skills
  • Bilingual (English/Spanish)
  • Able to work independently and proactively in a remote, fast-paced environment
  • Passionate about improving access to care for children and families
  • High school diploma or equivalent

Responsibilities

  • Enter patient referrals accurately and efficiently into the electronic referral portal in accordance with established workflows and timelines.
  • Review referral documentation for completeness and follow up with clinical staff to obtain missing information as needed.
  • Maintain organized records of all referral activity and update patient records accordingly.
  • Contact patients by phone or secure messaging to communicate referral status, appointment scheduling information, or follow-up instructions.
  • Document all patient interactions in the electronic health record (EHR) in a timely and accurate manner.
  • Verify insurance eligibility and benefits using clearinghouse and payer portals (e.g., TriZetto)
  • Identify when prior authorization is required based on payer guidelines and CPT codes
  • Prepare and submit prior authorization requests to payers using online portals, fax, or other payer-specific workflows
  • Track authorizations, follow up on pending or denied requests, and document updates in the patient record systems (EMR and/or Azalea)
