Position Summary This hybrid role serves as a critical operational partner across Talent Acquisition and People Operations, ensuring an exceptional candidate and employee experience. The People Operations & Talent Coordinator drives seamless hiring execution, supports compliance and regulatory initiatives, and helps maintain the operational backbone of a high-performing People function. This role is ideal for a detail-oriented, service-minded professional who thrives in a fast-paced environment and enjoys balancing recruitment coordination with broader employee experience initiatives. The position is based in Palo Alto, California, and offers a hybrid work arrangement - three days in the office and two days remote.

Requirements

  • 2–4+ years of experience in Talent Acquisition coordination, HR/People Operations support, or related administrative roles
  • Experience coordinating interviews and supporting onboarding initiatives
  • Bachelor’s degree in Human Resources, Business Administration, or a related field preferred (or equivalent practical experience)
  • Strong organizational skills with the ability to prioritize and manage multiple tasks simultaneously
  • Detail-oriented with a high level of accuracy in managing data, records, and processes
  • Working knowledge of ATS and HRIS systems; proficiency in Microsoft Office and Google Workspace
  • Process-driven mindset with the ability to identify opportunities for efficiency and continuous improvement
  • Ability to handle sensitive and confidential information with discretion
  • Comfortable managing small projects, such as new hire swag boxes, event logistics, and recognition program initiatives
  • Clear, professional written and verbal communication
  • Service-oriented with strong stakeholder management skills
  • Ability to interact confidently with candidates, employees, and leaders

Responsibilities

  • Coordinate phone, virtual, and onsite interviews, ensuring scheduling efficiency and clear communication with candidates and hiring managers.
  • Serve as the primary liaison between candidates, recruiters, and hiring managers, providing timely updates and maintaining a seamless candidate experience.
  • Maintain accurate ATS data and candidate records to ensure real-time visibility for stakeholders.
  • Facilitate smooth transitions from candidate selection to onboarding.
  • Coordinate mandatory regulatory and compliance training programs, ensuring completion tracking and reporting in partnership with the Regulatory Department.
  • Support regulatory audit processes and documentation.
  • Manage business card and name badge requests.
  • Prepare and distribute new hire welcome swag boxes.
  • Assist with campus events, volunteer programs, and employee engagement initiatives.
