About The Position

Planned Parenthood of Orange and San Bernardino Counties has a full-time opportunity for a People & Culture Coordinator in Anaheim, CA. Hybrid work schedule (3 days onsite/2 days remote). Supports and administers various aspects of People & Culture functions, including recruitment and employee relations. Responsible for administrative support of day-to-day People & Culture operations in accordance with federal, state, local laws, regulations as well as internal policies and procedures. Ensures that the People & Culture Department has a reputation, within the organization, of confidentiality, fairness, quality and the highest level of customer service demonstrating the organization’s WE CARE values. Partners with the Organization’s recruiters and hiring managers and participates in all phases of the recruitment process, including job postings and onboarding. Assists with updates to recruitment policies and procedures and supports special projects and events as required. Provides administrative support for employee relations processes and projects.   • This position requires travel to other sites and locations; if using a personal vehicle to meet this requirement, a valid CA driver’s license and current auto insurance in compliance with the minimum requirements of CA vehicle code are required.
  • Abortion patients are cared for at each of our health centers and in part through the administrative, support, and other non-clinical services provided at all PPOSBC locations and by all PPOSBC employees, and supporting these critical services is an essential job duty and fundamental responsibility of all employees.
  • Advanced coursework in Human Resources and/or PHR, SHRM-CP certifications preferred.
  • Associate’s degree or equivalent, from two-year College or equivalent combination of education and experience required.
  • 1-3 years’ experience in a human resources department with at least one (1) year focused on recruitment; healthcare recruitment preferred or related experience and/or training required.
  • Requires 2-3 years of administrative support experience.
  • HRIS experience preferred (i.e., UKG).
  • ATS experience preferred, iCIMS is preferred.
  • Healthcare experience preferred.

Responsibilities

  • Ensure that the People & Culture Department has an internal and external reputation of competency, fairness, confidentiality, and the highest level of customer service.
  • Remain current on all applicable labor laws, regulatory compliance, and standards of practice relating to the position.
  • Uses, protects, and discloses employee protected health information (PHI) in accordance with Health Insurance Portability and Accountability Act (HIPAA) standards and company guidelines.
  • Performs customer service functions by answering employee requests and questions regarding People & Culture policies and procedures.
  • Plan, conduct, and evaluate the new hire employee orientation program to fully comply with organization’s goals and policies.
  • Prepare and maintain personnel files in compliance with applicable laws and audit guidelines.
  • Oversee and provide the information for employment verifications in response to inquiries.
  • Maintain monthly HHS/OIG reporting.
  • Maintenance of records such as hires, promotions, transfers, employment eligibility verifications (I-9), terminations, licenses, and education certifications.
  • Maintain the People & Culture department page of the organization’s intranet (PP Connect).
  • Maintain HRIS data entry with emphasis on new hires, employee changes, and separations in a timely manner.
  • Create identification badges for new hires and current employees to promote culture of safety.
  • Maintain and keep inventory of People & Culture new hire merchandise, event decorations, and office supplies.
  • Prepare reports as requested.
  • Conducts pre-employment screening steps (i.e., background checks, pre-employment health screening, testing, etc.) and schedules new hires for orientation.
  • Updates ATS with location and job template changes.
  • Performs the onboarding presentations and initiates/maintains paperwork for Temp Agency Workers and special temporary employee projects.
  • Updates and maintains internal department standard operating procedures and processes.
  • Responsible for updating internal job postings as needed.
  • Assists with onboarding and orientation for Peer Ambassador Program.
  • Process unemployment claims from Employment Development Department (EDD) by submitting the required documentation/information and following up as appropriate.
  • Provide timely notification to People & Culture leadership team regarding any scheduled hearings.
  • Plan and/or assist with employee relations initiatives as needed.
  • Assist in planning and executing employee engagement events as needed.
  • Track and ensure all COS forms are processed by the deadline and submit all IT COS Tickets.
  • Ensure all job descriptions from internal changes are downloaded and filed in the personnel file.
  • File, track, and monitor corrective actions and performance improvement plans.
  • Assist and ensure all separated employees’ company property is collected and returned to the respective departments.
  • Review and approve all employee recognitions, We Care champion, and business card requests in a timely manner.
