About The Position

The Payroll Support Specialist provides dedicated support to the payroll function by assisting with the accurate and timely processing of weekly payroll. This role works closely with the Payroll Specialist and accounting team to ensure employee time records, job costing information, and payroll data are complete, accurate, and compliant with company policies. This position reports to the Payroll Manager.

Requirements

  • High school diploma or equivalent required; associate degree in accounting, business, or related field preferred.
  • Minimum 2 years of payroll support, accounting support, or timekeeping administration experience preferred.
  • Proficiency in Microsoft Office (Outlook, Word, Excel).
  • Strong attention to detail and accuracy in data entry.
  • Ability to prioritize tasks and manage multiple deadlines in a fast-paced environment.
  • Strong verbal and written communication skills for interaction with field employees, supervisors, and accounting staff.
  • Ability to handle sensitive payroll and employee information with discretion and confidentiality.
  • Ability to work independently while effectively supporting the accounting and operations teams.

Responsibilities

  • Cross-train with the Payroll Manager to learn all steps involved in preparing and processing weekly payroll.
  • Assist with collecting, reviewing, and entering employee time records accurately and on schedule.
  • Verify job numbers, hours worked, classifications, and pay rates for accuracy prior to payroll submission.
  • Support job-costing accuracy by ensuring time is coded correctly to jobs, phases, and cost categories.
  • Serve as the primary point of contact for managing ExakTime including employee setup, job setup, maintenance, and basic troubleshooting.
  • Assist with onboarding and offboarding payroll-related setup, including timekeeping access and pay profile updates.
  • Support the distribution of pay statements and assist with resolving routine payroll and timekeeping questions from employees.
  • Maintain organized, complete, and confidential payroll and timekeeping records in accordance with company policy.
  • Assist with payroll-related audits, reconciliations, reporting, and other duties as requested.
