About The Position

The Payroll Supervisor oversees all aspects of payroll processing for Adelante’s diverse human services programs, ensuring accurate, timely, and compliant pay for employees across multiple locations and funding streams, including federal and state contracts and grants. This position supervises payroll staff, partners closely with HR and Finance, and supports continuous improvement of payroll processes and internal controls to ensure compliance, operational efficiency, and reliable payroll operations in a high-volume, multi-funding-source nonprofit environment.

Requirements

  • Associate’s degree in accounting, finance, business administration, or related field, or equivalent experience required.
  • Three years of payroll experience required, including processing complex payrolls and ensuring compliance with payroll tax and wage and hour regulations.
  • Two years of lead or supervisory payroll experience required.
  • Must be able to pass background/fingerprint investigation and pre-employment drug & TB screening.
  • Must possess a valid NM driver’s license, proof of auto liability insurance, and an insurable driving record.
  • Must be able to push/pull and lift 10-25 lbs frequently.

Nice To Haves

  • Experience working with nonprofit or human services organizations and federal or state-funded programs, grants, or contracts preferred.
  • Certified Payroll Professional (CPP) designation preferred

Responsibilities

  • Oversee the full payroll cycle for all employees, ensuring accurate and timely processing of regular and off-cycle payrolls in accordance with agency policies and established schedules.
  • Supervise and support payroll staff, including assigning work, reviewing accuracy, and providing coaching, training, and performance feedback.
  • Ensure compliance with federal, state, and local payroll regulations, including wage and hour laws, payroll tax requirements, garnishments, and benefit deductions.
  • Serve as a payroll subject matter resource for employees, supervisors, HR, and leadership by providing clear guidance on pay, timekeeping, and payroll-related policies.
  • Partner closely with Human Resources to ensure accurate processing of new hires, terminations, pay changes, and benefit elections that impact payroll.
  • Collaborate with Finance to support payroll-related accounting, including reconciliations, general ledger postings, and cost allocations across programs, grants, and contracts.
  • Monitor payroll accuracy and internal controls by conducting reconciliations, reviewing reports, and resolving discrepancies in a timely manner.
  • Support financial and program audits by preparing payroll documentation, reconciliations, and related records as requested.
  • Recommend and implement payroll process improvements that enhance efficiency, strengthen compliance, and improve the employee payroll experience.
  • Maintain and oversee payroll and timekeeping systems, ensuring accurate time and attendance records and supporting system updates or improvements as needed.
