About The Position

The Payroll Specialist is responsible for processing the organization's in-house payroll, ensuring timely and accurate payment in compliance with government regulations. This role involves managing payroll for a significant number of employees across multiple states and maintaining employee records while adhering to federal, state, and local laws.

  • Associate degree or bachelor's degree in accounting, business administration, human resources or related field required.
  • At least two years of experience in payroll processing is required.
  • Working experience with payroll taxes at the Federal, multiple State and Local level required.
  • Must be able to read and understand working conditions outlined in a Collective Bargaining Agreement (CBA).
  • Multiple union experience required.
  • Construction industry experience preferred.

Responsibilities

  • Handles the daily workflow of the department.
  • Ensures procedures and processes are followed.
  • Processes inquiries and requests related to preparation and distribution of payroll.
  • Processes weekly payroll for 600-1,000 union and non-union employees across multiple states.
  • Reviews and corrects payroll exception reports.
  • Assists the Manager and Supervisor with tasks such as reconciliation of payroll to general ledger, monthly union reports, pay rate changes, garnishments, taxes, deductions, etc.
  • Enters/validates new hire information, organizes, and scans documentation.
  • Submits Background Check requests and manages completed checks.
  • Ensures accurate and timely processing of payroll updates including new hires, terminations, and other changes as requested.
  • Maintains or oversees the maintenance of employee records.
  • Ensures compliance with federal, state, and local payroll, tax, wage, and hour laws and best practices.
  • Assists with audits.
  • Prepares and distributes Certified Payroll Reports.
  • Distributes pay checks/direct deposit stubs.
  • Processes layoff checks.
  • Identifies and recommends updates to payroll software, systems, and procedures.
  • Performs other duties as assigned.
