About The Position

We are looking for a dependable and detail‑oriented Payroll Specialist to join our team. In this role, you will process weekly payroll, keep payroll records accurate and up to date, and help employees and managers with timekeeping and pay‑related questions. You will work closely with HR, Accounting, Operations, and department managers to keep payroll running smoothly in a fast‑paced environment.

Requirements

  • High school diploma or GED required.
  • 2–3 years of payroll experience in a multistate or high‑volume environment.
  • Experience with payroll/timekeeping systems (Paycor preferred).
  • Experience handling deductions and garnishments.
  • Strong understanding of wage and hour laws and payroll compliance.
  • Knowledge of taxes, benefit deductions, and payroll documentation.
  • Proficiency in Microsoft Excel (VLOOKUP, pivot tables, Smartsheet preferred).
  • Strong attention to detail and problem‑solving skills.
  • Ability to maintain confidentiality and handle sensitive information.
  • Strong verbal and written communication skills.
  • Ability to explain payroll concepts clearly.
  • Excellent customer service skills.
  • Ability to troubleshoot payroll issues and use sound judgment.
  • Highly organized and able to manage multiple deadlines.
  • Able to work independently and as part of a team.
  • Comfortable interpreting policies and applying balanced judgment.
  • Committed to accuracy and timely payroll delivery.

Responsibilities

  • Process weekly payroll accurately and on time.
  • Review timesheets, hours worked and pay changes for accuracy.
  • Maintain payroll records, tax information, and employee deductions.
  • Prepare and share payroll reports with payroll managers.
  • Ensure compliance with federal, state, and local tax laws.
  • Issue W‑2s, 1099s, and assist with year‑end reporting.
  • Stay updated on wage and hour laws and multistate payroll rules.
  • Answer employee questions about pay, deductions, and payroll procedures.
  • Train new hires on payroll systems and timekeeping.
  • Support managers with timekeeping accuracy and compliance.
  • Use good judgment when enforcing payroll policies while allowing reasonable flexibility when appropriate.
  • Perform weekly payroll audits and correct any issues.
  • Support internal and external audits and prepare required documents.
  • Work with HR on onboarding, offboarding, benefits, and leave tracking.
  • Process and manage employee garnishments according to legal requirements.
  • Maintain and update the IWO (Income Withholding Order) website.
  • Work with leadership to improve payroll processes.
  • Assist the HR Director with special projects and administrative tasks.
