About The Position

The Payroll Specialist will work as part of a team to ensure accurate and timely preparation, processing and handling of payroll data and systems, related information, processes and systems in support of company policies and governmental rules and regulations. They will handle moderately complex payroll-related inquiries, issues or discrepancies, and maintain payroll records. They will also assist, support and collaborate with all departments and locations in related tasks to ensure seamless payroll operations.

Requirements

  • AA degree in business or accounting related field preferred, with 2-4 years of working experience in an office environment involving cash disbursements, accounts payable or related functions, including a minimum of two years processing payroll OR equivalent combination of education and experience which will provide the ability to perform the essential functions of the position.
  • Ability to receive Fundamental Payroll Certification (FPC) within 18 months of hire.

Responsibilities

  • Shared responsibility of payroll processes such as prepare, input, process, audit, reconciliation of all payroll information required for multi-state semi-monthly payroll using UKG Pro Payroll and Dimensions timekeeping system. Handles moderately complex payroll tasks and problems, referring more complex tasks to a higher level.
  • Troubleshoot timesheet problems and correct them for payroll processing.
  • Process off-cycle and final checks on an as needed basis.
  • Process positive pay, reconcile bank transactions and lost check issues according to company policy.
  • Respond to Payroll inbox inquiries in a sensitive, timely and helpful manner.
  • Track, reconcile, and troubleshoot periodic payroll tax reports, adjustments, and related payroll reports processed by the Payroll Provider Tax Services.
  • Assist with preparation and filing of periodic payroll tax reports, adjustments and related payroll reports not processed by the Payroll Provider Tax Services
  • Maintain current payroll and timekeeping system knowledge of applicable HRIS system configuration, new functionality, testing, troubleshooting.
  • Ensure compliance with internal governance and HRIS company processes.
  • Ensure compliance with all federal, state and local wage and hour laws and regulations.
  • Maintain payroll documentation and related records proactively, according to departmental filing conventions.
  • Proactively communicate payroll timing needs and expectations with other departments, especially any changes to standard procedures.
  • Perform a range of accounting level support for the accounting department.
  • Review and maintain information published on Payroll intranet site.
  • Ad hoc payroll related reporting, analysis and projects as needed.
  • Support and provide coverage of other payroll staff as needed.
  • Maintain confidentiality in accordance with company policies, with respect to employees and other financial information.
