About The Position

Off Duty Management’s Accounting Team works onsite at our Corporate Office located in Katy, Texas. We offer a no-cost solution that helps law enforcement agencies nationwide to manage and execute their off-duty programs and assignments. Our services include 24/7 customer support, handling inbound service requests, scheduling, time and attendance, payroll, and invoicing. Job Overview: The Payroll Specialist is responsible for processing payroll for all contract employees, ensuring accuracy and compliance by reconciling payroll data between our proprietary scheduling software and the NetSuite Accounting System. This includes maintaining thorough documentation of all payroll-related transactions. This position navigates multiple software platforms and payroll systems to ensure timely and accurate contractor payments. The Payroll Specialist reports to the Payroll Manager.

Requirements

  • Work experience as a Payroll Specialist or related field, with an emphasis on using spreadsheets for large-scale data management and reporting
  • Ability to calculate, post, and manage accounting figures and financial records
  • Demonstrated ability to analyze data using critical thinking to identify discrepancies (e.g., incorrect employee information, system errors, or manual input mistakes)
  • Experience with Excel functions, pivot tables, and advanced formulas for investigating complex payroll data
  • Proficiency in MS Office Suite
  • Comfortable working under pressure to meet the Agency’s payroll deadlines
  • Strong customer service skills
  • Proficient verbal and written communication skills
  • A high degree of accuracy and attention to detail to spot errors or inconsistencies in payroll data
  • Adaptable to evolving payroll structures and managing diverse payroll schedules
  • Capable of seamlessly transitioning between tasks as needed for backup support
  • Works well with a team and has a solution-oriented approach
  • Extremely detail-oriented, with consistent accuracy
  • Ability to work efficiently and accurately in a fast-paced environment
  • Strong organizational skills
  • High school diploma required; an associate degree in business or accounting is preferred
  • Minimum 2-3 years of experience performing payroll, AP/AR, or other accounting functions

  • Preference is given to individuals with prior Accounting Software experience

Responsibilities

  • Accurately and efficiently completes assigned 1099-payroll and other Accounts Payable responsibilities
  • Maintains payroll information by collating, calculating, and entering data
  • Updates payroll records by entering any changes to the contractor’s profile, such as banking information and mailing address, to ensure the individual is payroll-ready
  • Prepares payroll reports and validates hours, earnings, admin fees, and payroll tax percentages
  • Regularly performs data reconciliation between different systems (time-tracking system and payroll systems) using Excel functions to ensure consistency and accuracy
  • Research payroll discrepancies, creating tickets to have errors corrected, and answering payroll queries
  • Examines scheduling docs to ensure shift details align with the agency’s guidelines
  • Ensures all payroll operations comply with company policies and procedures
  • Successfully collaborates with other departments to complete assigned tasks efficiently and accurately
  • Performs general office tasks, including answering calls, managing files, handling inbox communications, and completing other assigned duties
  • Processes and issues 1099 forms to contract employees
  • Performs other duties, tasks, and responsibilities as assigned by management to support organizational goals and objectives
