We are seeking a detail‑oriented and highly skilled Payroll Specialist to ensure accurate, compliant, and timely processing of multi‑state payroll while supporting key Finance and Accounting operations.

Requirements

  • High School diplomas/GED required; Associate degree preferred.
  • 2–3 years of payroll processing experience, including multi‑state payroll.
  • Experience with HRIS systems; Paycom experience strongly preferred.
  • Strong analytical, problem‑solving, and organizational skills.
  • Advanced knowledge of payroll regulations, systems, and best practices.
  • Ability to thrive in a deadline‑driven, fast‑paced environment.
  • Strong attention to detail, accuracy, and confidentiality.

  • Payroll certification preferred.

Responsibilities

  • Prepare and process bi‑weekly, multi‑state payroll using Paycom payroll software.
  • Maintain and update payroll systems, employee records, leave balances, and garnishments.
  • Review, research, and resolve payroll discrepancies and irregularities.
  • Prepare payroll journal entries and assist with general ledger reconciliation.
  • Administer and maintain the 401(k) plan, including contributions and disbursements.
  • Review quarterly federal and multi‑state payroll tax reports.
  • Ensure compliance with federal, state, and local payroll regulations and respond to agency inquiries.
  • Compile custom payroll reports for senior leadership and auditors.
  • Coordinate with HR to ensure accurate employee data and timely processing of employee changes.
  • Review and approve employee updates made through the Paycom employee portal.
  • Prepare stipends, bonuses, incentives, and reconcile physician call logs monthly.
  • Assist with Accounts Payable and Purchasing functions when payroll tasks are complete.
  • Serve as a resource for employees, responding to payroll questions professionally and promptly.
  • Maintain strict confidentiality and adhere to internal controls and audit requirements.
  • Review electronic timecards, process payroll data, communicate with HR and employees, troubleshoot discrepancies, prepare reports, complete payroll runs, update payroll folders, resolve Paycom workflows, and support Accounting and Purchasing tasks when payroll is not actively processing.
