About The Position

This is a full time position in Shenandoah, Ia. The hours are Monday-Friday 8am-4:30pm. I. The Payroll & Safety Specialist is responsible to the Human Resources Manager. II. This is a full-time, non-professional position. III. Specific Job Duties & Responsibilities: 1. Responsible for all payroll functions. This includes the ability to compile provided information for the payroll upload, review of prepared payroll for needed corrections, and issuing final approval to move payroll to completion status. 2. Responsible for the agency bonus program. This includes tracking and calculating accurate payment for all hiring and retention bonuses, as well as uploading discretionary pay adjustment information for payment. 3. Responsible for all record keeping and entry of pay increase information into the payroll system. 4. Responsible for completing all payroll reporting to the government as required. 5. Responsible for auditing/updating payroll records for payroll information as required. 6. Assist with auditing/maintaining benefit information in the payroll system. 7. Monitor staff leave benefits (vacation, wellness, personal, FMLA and all other time off). 8. Assist as needed with employee benefits set up in the HRIS/payroll system. 9. Assist as needed with annual open enrollment for benefits. 10. Responsible for maintaining 403B enrollment additions and changes based on electronic records provided from the plan carrier. Upload 403B in provider portal, making necessary adjustments and ensuring submission is accurate. 11. Assist with 403B Audit and Work Comp Audit as needed. 12. Responsible to participate in the agency’s overall safety program. 13. Complete safety drop-ins at all agency sites on a monthly basis. Complete specified forms related to environment, medication administration documentation, and general safety. 14. Audit all safety files to ensure paperwork for all sites is filed timely to meet requirements. Track data for Safety Benchmark reports. 15. Receive and enter all maintenance requests to the Maintenance Tracking System. Track assignment, progress, and completion of requests in the system. 16. Enter and track assignment, progress, and completion of all preventative maintenance items in the Maintenance Tracking System. 17. Track the maintenance required for the ILink system, adding this information to the Maintenance Tracking System. 18. Participate and cooperate with all agency investigations. 19. Handle any other duties as assigned by the Human Resources Manager or Executive Director. IV. Essential Functions: 1. All payroll processing duties. 2. Ability to be trained and become skilled with required computer programs (ex., payroll system, Excel). 3. Ability to be trained to navigate/utilize various partner computer portals to monitor benefit enrollments, conduct reporting, etc. as required. 4. Nishna Productions, Inc. exists to serve the needs of persons with disabilities. Frequently, these persons have behavior disorders which may result in the display of aggressive outbursts of a physical nature. The person served may or may not be able to control these episodes. Each employee is required to physically assist in dealing with these behaviors if the situation warrants. 5. All staff/volunteers of Nishna Productions, Inc. will comply with state and federal regulations regarding HIPAA (Health Insurance Portability and Accountability Act). 6. Every employee/volunteer of Nishna Productions, Inc.is on a need-to-know basis regarding the Protected Health Information (PHI) of the individuals served by the agency. Therefore, a security clearance level is assigned for each job description, and those security levels are allowed access only to the information required to complete the duties in each position. · Level One allows the least access and is intended for truck drivers, maintenance staff, and volunteers. · Level Two is for direct care workers including: Floaters/Substitutes, SCLS, Day Hab Instructors, Job Coaches. · Level Three includes office support staff. · Level Four is for Team Leaders and Supervisors · Level Five is the security clearance given to Program Coordinators. · Level Six allows access to all PHI and includes Directors/Administrators, Quality Assurance, and IT support. · Temporary clearance for PHI access can be given if staff require the access to complete extra assigned duties (i.e., filling in for another department). Maintenance personnel are given permanent access to area where PHI is stored, as they may need to enter to complete their duties.

Requirements

  • Post-secondary education preferred.
  • Previous payroll experience preferred.
  • Basic computers skills required (i.e., Excel, Word)
  • Above average communication skills, both written and verbal.
  • Ability to communicate with co-workers in an effective and courteous manner.
  • Must be mature and able to use good judgement.
  • Must have strong organizational and leadership skills.
  • Ability and desire to work with other employees as a team.
  • Must be flexible and willing to schedule work hours as required to do the job.
  • Uphold all confidential information concerning individuals served or the organization.
  • Must not have been convicted of any type of assault, abuse, or bodily injury.
  • All agency staff are required to participate and cooperate with agency investigations. Confidentiality will be respected to the fullest extent possible.
  • Must conform to Drug & Alcohol testing policies and procedures.
  • Must have a positive driving record and be considered insurable by the agency’s insurance carrier.
  • Individuals “must not have or be a carrier of” a serious infectious or communicable disease, such as, but not limited to, incurable, fatal, or debilitating diseases, which cannot be eliminated or reduced by reasonable accommodation. A current example would include, but not be limited to, tuberculosis. Determination of the existence of a serious disease is to be made by the proper medical authorities.
  • Must be able to travel from place to place, up to 70 miles.
  • Must be able to enter and exit facilities that may or may not be accessible to everyone.
  • Must be able to carry necessary paper and supplies to perform functions.
