About The Position

We are seeking a detail-oriented and motivated Payroll Assistant to join our team. This role will support the accurate and timely processing of payroll across multiple states and entities, ensuring compliance with wage and hour regulations. The Payroll Assistant will work closely with internal teams, external agencies, and employees, delivering high-quality service while maintaining confidentiality and accuracy. This is an on-site position based in Irvine, CA.

Requirements

  • A Minimum of 2 years of payroll or timekeeping experience, preferably in a high-volume, multi-state environment.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
  • Strong organizational skills with attention to detail and accuracy.
  • Effective written and verbal communication skills with the ability to handle sensitive issues professionally.
  • Strong math and problem-solving skills with the ability to meet deadlines.
  • Ability to work independently as well as collaboratively in a team-oriented environment.

Nice To Haves

  • Experience with Workday & ADP or similar platforms.
  • Background supporting certified payroll or prevailing wage reporting.
  • Associate's degree in Business, Accounting, or related field.
  • Demonstrated ability to contribute to process improvements and operational efficiency.
  • Knowledge of payroll tax laws, wage and hour regulations, and basic accounting principles.

Responsibilities

  • Assist with preparing and processing multi-state payroll in a high-volume environment.
  • Review and verify timekeeping records, hours worked, deductions, and adjustments.
  • Ensure compliance with payroll tax laws, wage and hour regulations, and company policies.
  • Maintain accurate payroll records, prepare reports for management, and support audits.
  • Reconcile payroll data, research discrepancies, and resolve payroll issues promptly.
  • Provide timely responses to employee payroll inquiries with a customer service mindset.
  • Coordinate with HR and Accounting teams to address payroll-related issues.
  • Organize, scan, and maintain payroll documentation required for government contracts and prevailing wage reporting.
  • Interface with government agencies and external partners to provide required payroll data.
  • Contribute to payroll process improvements and documentation of procedures.
  • Perform additional payroll and administrative duties as assigned.
