About The Position

The Payroll & Accounting Clerk is responsible for processing payroll accurately and timely while supporting accounting functions related to payroll, reporting, and financial records. Will also support accounting duties as needed. This role ensures compliance with federal and state regulations, maintains accurate payroll and accounting records, and serves as a key liaison between employees, HR, and the accounting team.

Requirements

  • Bilingual in Spanish (read, write, and speak fluently) preferred
  • Experience with Paylocity or similar payroll systems required
  • Working knowledge of accounting principles (payroll accounting, reconciliations, journal entries)
  • Proficiency in Microsoft Excel and Word required
  • Experience with Google Workspace (Drive, Email, Calendar) preferred
  • Strong analytical and problem-solving skills
  • High level of confidentiality and professionalism
  • Detail-oriented with strong organizational skills
  • Ability to work independently and as part of a team
  • Ability to manage multiple deadlines in a fast-paced environment

Responsibilities

  • Process bi-weekly payroll, including bonus and termination checks, ensuring accuracy and compliance
  • Verify payroll calculations for salaried, hourly, and commissioned employees
  • Review and audit employee timecards; resolve discrepancies in a timely manner
  • Maintain accurate payroll records, including earnings, deductions, and garnishments
  • Respond to employee inquiries regarding pay, deductions, benefits, and timekeeping
  • Process wage garnishments and employment verifications in compliance with legal requirements
  • Coordinate year-end payroll activities, including review and distribution of W-2s
  • Reconcile payroll accounts and general ledger entries
  • Prepare bi-weekly and monthly payroll reports
  • Assist with audits and financial reporting
  • Support month-end and year-end close processes related to payroll
  • Maintain knowledge of federal and state wage and hour laws, including overtime, meal/rest breaks, and paid leave requirements
  • Ensure compliance with California labor laws and Company policies
  • Support benefits administration, including payroll deductions for medical, dental, vision, life insurance, and retirement plans (401k, Roth, loans)
  • Maintain employee payroll files and perform periodic audits for accuracy and compliance
  • Translate employee communications and Company documents into Spanish as needed
  • Assist in employee meetings as a Spanish translator when required
  • Identify opportunities to improve payroll and accounting processes and increase efficiency
  • Manage multiple priorities, meet deadlines, and maintain a high level of accuracy under pressure
