Our client is seeking a highly reliable Operations & Administrative Support Specialist (Non-KYC) to handle back-office operations related to investment vehicles, payment workflows, document processing, and administrative coordination. This is an urgent hire, with a strong preference to onboard the candidate in December . The role focuses heavily on precision, structured processes, and queue-based task management. The ideal candidate is meticulous, proactive, and able to work independently while ensuring consistent alignment with internal processes. While KYC is not part of this role (handled by an existing freelancer), the specialist will support our clients operational backbone by maintaining accuracy across high-volume tasks, reconciling payments, processing documents, and communicating updates to the internal team. Candidates must have strong written English and the ability to read and process French-language documents .

  • Support operational workflows across multiple investment vehicles and internal systems.
  • Process and reconcile incoming payments, including matching wires to investor commitments.
  • Maintain accuracy across high-volume operational tasks and documentation.
  • Organize and manage items in internal task queues to ensure timely completion.
  • Assist in back-office workflows involving data entry, transaction tracking, and document processing.
  • Spot discrepancies, inconsistencies, or data errors and escalate them promptly.
  • Ensure adherence to internal standards, process rigor, and documentation accuracy.
  • Communicate proactively with team members regarding task status, blockers, or findings.
  • Strong proficiency with Excel and Google Sheets (sorting, filtering, reconciliation, formulas).
  • Experience using CRMs or operational databases (training on proprietary systems provided).
  • Professional background in financial operations, fintech support, admin roles, or high-volume data processing.
  • Strong written English skills.
  • Ability to read and process French documents (required).
  • Exceptionally detail-oriented with a high degree of accuracy.
  • Independent, proactive, and solution-oriented—able to take ownership of tasks without micromanagement.
  • Comfortable with repetitive, high-volume tasks while maintaining precision.
  • Strong communicator capable of providing clear updates to the team.
  • Able to follow structured processes while also identifying when something needs escalation.
  • Calm, reliable, and consistent in execution.
  • Experience in fintech, investment operations, or customer support/ticketing systems.
  • Familiarity with queue-based workflow management tools.
  • Knowledge of financial terminology or investment processes.
