About The Position

The Patient Services Team Lead at Tennessee Oncology is responsible for providing comprehensive medical office support, including registration and scheduling functions. This role serves as the patient service lead for the clinic, assisting managers with staffing needs, audits, and reports, while also overseeing patient services operations in their absence. The position emphasizes excellent customer service and effective communication within a fast-paced environment.

Requirements

  • High school graduate or equivalent with GED
  • 5 years' experience in a professional office with customer service required
  • Minimum of 6 months experience in current role as a qualified Preceptor or signed off on competencies as a Patient Services Coordinator
  • Strong computer skills including Windows file management and MS Office
  • Electronic Medical Records experience required
  • Excellent verbal and written communication skills
  • Ability to work productively and effectively in a fast-paced environment
  • Strong organizational skills and attention to detail
  • Excellent customer service skills

Responsibilities

  • Assists Manager(s) with assessing staffing needs
  • Meets with Manager(s) to discuss front office issues
  • Assists Manager(s) with audits/reports as needed
  • Provides feedback to management regarding areas of improvement or concern
  • Ensures up-to-date documentation on patient's accounts in Electronic Medical Record and Patient Management System
  • Communicates issues, needs, or other staff/clinic information with Operations Manager
  • Performs front office duties as necessary
  • Functions as a preceptor to newly hired staff
  • Assists with education and training of existing staff on new or revised processes
  • Acts as a mentor/role model for the front office staff
  • Answers telephones and greets patients courteously and efficiently
  • Routes calls/messages to appropriate discipline/department
  • Conducts patient check-in and check-out functions
  • Obtains pre-patient registration, demographic and insurance information
  • Collects co-payments and/or payments at time of service
  • Manages end of day procedures including daily deposit and sign-in sheets
  • Schedules patient appointments, tests, and admissions
  • Opens and distributes mail as required
  • Electronically scans appropriate patient-related records into the EMR
  • Distributes outbound correspondence or copies of records as necessary
  • Works on reports pertaining to the front office
  • Makes self readily available to front office staff to discuss issues or concerns
  • Investigates and resolves patient/visitor concerns/complaints
  • Demonstrates excellent customer service
  • Responds promptly to requests from patients, physicians, managers, and other departments
  • Communicates with staff using Instant Messaging System
  • Adheres to practice guidelines and Tennessee Oncology Policy and Procedures
  • Participates on committees when requested
  • Assumes responsibility for personal and professional growth
  • Maintains a positive work environment for physicians and staff
  • Maintains a professional attitude toward other employees
  • Travels/float to other clinics for business needs
  • Performs other duties as assigned
