Job Purpose: Responsible for scheduling appointments and taking messages following established department protocols in a courteous and professional manner

Requirements

  • High school diploma or GED
  • Minimum one year of experience in an appointment scheduling position or customer service position, preferably in a medical practice setting. Computer experience.
  • Knowledge of customer service principles and techniques. Knowledge of medical terminology. Skill in communicating effectively with physicians/clinicians about scheduling preferences.
  • Ability to be versatile, dealing with phone calls, in-office patients, staff, and others pleasantly. Ability to handle stressful situations.
  • Ability to establish and maintain effective working relationships with patients, employees, and the public.
  • Ability to communicate calmly and clearly with patients about appointments in all circumstances including when they are ill or have an emergency.
  • Ability to analyze situations and respond appropriately.

Responsibilities

  • Answers incoming calls in a prompt and professional manner.
  • Schedules, coordinates, and reschedules patient appointments as needed.
  • Obtains and enters patient demographic and insurance information as required.
  • Verify online insurance eligibility.
  • Takes messages from patients, physicians, hospitals, for emergencies and non-emergencies per established protocols.
  • Reviews, maintains, and updates provider schedules ensuring patients are scheduled properly.
  • Performs other duties as assigned.
  • Maintains strictest confidentiality; adheres to all HIPAA guidelines and regulations
