About The Position
The Patient Services Representative at Phelps Health plays a crucial role in representing the Physicians Clinics both on the telephone and at the front desk. This position demands a high level of professionalism and exceptional customer service skills, as the representative is often the first point of contact for patients. The role requires individuals to be well-organized, detail-oriented, and capable of multitasking efficiently in a fast-paced work environment. The representative will be responsible for a variety of essential duties that contribute to the smooth operation of the clinic and the satisfaction of patients. Key responsibilities include answering telephone calls promptly and directing them appropriately, greeting patients warmly and respectfully, and communicating effectively with patients and their significant others. The representative must obtain complete demographic and insurance information from patients and ensure that this information is entered accurately into the system. Maintaining the confidentiality of patient information is paramount, and adherence to regulations regarding the privacy of protected health information is required. Scheduling appointments according to established protocols is another critical duty, along with informing patients and their guardians about the patient portal at the time of service. The representative will also make patient confirmation calls and guide patients through the registration process on the patient portal to complete necessary paperwork. Demonstrating compassion and respect for others is essential, as the representative will deal with patients in a sensitive and responsive manner. Additional responsibilities include taking accurate messages, updating patient demographic information, verifying insurance coverage, and collecting co-payments at the time of service. The representative must meet commitments, work independently, accept accountability, handle change effectively, and maintain focus under pressure while being a team player and adhering to attendance and punctuality requirements.
