About The Position

Requirements

  • Valid Medical Assistant Certificate from an accredited program required.
  • Valid BLS certification required upon hire.
  • One year customer service experience required; in a healthcare setting preferred.
  • Experience working with electronic medical records and multi-phone lines preferred.
  • Bilingual (English/Spanish) highly preferred.
  • Excellent verbal and written communication skills, including superior composition, typing and proofreading skills.
  • Ability to interpret a variety of instructions in written, oral, diagram, or schedule form.
  • Knowledgeable about and experience with customer service etiquette and protocols.
  • Ability to interact effectively with clinic personnel, patients, and diverse populations.
  • Ability to successfully manage multiple tasks simultaneously.
  • Excellent planning and organizational ability.
  • Ability to use computer programs, such as spreadsheets and databases.
  • Ability to work as part of a team as well as independently.
  • Ability to work with highly confidential information in a professional and ethical manner.

Responsibilities

  • Assess incoming phone calls to determine the correct course of action based on customer information and needs.
  • Correspond with patients, salespeople, and visitors in an accurate, expeditious, courteous, and competent manner via in-person, telephone, and/or mail.
  • Conduct appointment reminder calls to all patients, including noted documents required for their visit.
  • Impact patient experience by demonstrating courteous and helpful behavior and a commitment to accuracy.
  • Generate daily lists of scheduled appointments for the clinic.
  • Share accountability for overall patient health outcomes by working in coordination with care teams.
  • Instill confidence in our care and facilities to patients, fellow employees, and other stakeholders.
  • Schedule appointments and enter all required data into electronic scheduler.
  • Track and record filled and cancelled appointments.
  • Prepare patient charts prior to their appointments.
  • Verify patient appointments and arrival time at registration.
  • Receive and record patient payments in computer and ledger for services received.
  • Verify patient records are up to date and accurate; make appropriate changes in computer system as needed.
  • Complete ongoing/annual training for position compliance.
  • Communicate and perform clinical care services with patients.
  • Take patient vital signs and obtain patient intake information.
  • Discuss patient needs and provide education and resources to patients directly.
  • Ensure exam rooms are stocked, cleaned, and set up for examinations and procedures.
  • Coordinate provider workflows to ensure efficient patient care.
  • Ensure the provider has all pertinent information required for each patient visit including diagnostic images, labs, procedure tray set-ups, and required screenings.
  • Assist providers and care teams in chiropractic, acupuncture, podiatry, and/or general medicine departments as needed.
  • Utilize electronic health records to order, process, and document clinical treatment plans for patients as directed by the provider.
  • Convey information to patients via telephone or email under the direction of a provider or Registered Nurse.
  • Provide patients with requested documents after review to ensure forms are complete, accurate, and executed by the provider.
