About The Position

The Patient Services Medical Assistant serves as the first point of contact for patients—both virtually and in person—ensuring a seamless, compassionate, and organized care experience. This role supports telehealth and wellness center operations by triaging patients, coordinating care, managing administrative workflows, and maintaining a welcoming clinical environment. The ideal candidate is patient-focused, highly organized, technologically proficient, and thrives in a collaborative healthcare setting. This individual builds strong relationships with patients through clear, timely communication and works closely with providers and staff to ensure continuity of care.

Requirements

  • Strong written and verbal communication skills with demonstrated empathy and professionalism.
  • Ability to provide timely responses and maintain a solution-oriented mindset.
  • Proficiency with basic technology (Microsoft Office and similar tools).
  • Ability or willingness to learn patient engagement platforms and EMR systems.
  • Excellent organizational skills with the ability to multitask and work independently.
  • Comfortable working in a dynamic, team-based healthcare environment.
  • Strong attention to detail and ability to follow written and verbal instructions.
  • Ability to read, write, and communicate effectively in English.
  • 1+ years of work experience, preferably in customer service or healthcare.

  • CCMA (or similar clinical accreditation) strongly preferred.

Responsibilities

  • Monitor patient engagement platforms and respond to incoming messages (text, phone, video, email) with a patient-first approach.
  • Greet patients, vendors, and visitors in a friendly, professional, and compassionate manner.
  • Conduct initial patient intake, verify identity, review prior visits, and direct patients to appropriate providers.
  • Answer patient questions and provide assistance both virtually and in person.
  • Build trust with patients through timely, empathetic, and solution-oriented communication.
  • Coordinate care between patients and providers to ensure timely, seamless encounters.
  • Assist with scheduling appointments, initiating follow-ups, and setting tasks.
  • Support referral management, prescription tracking, and other care coordination activities.
  • Fill in for clinical team members as needed to maintain operational continuity.
  • Utilize electronic medical record (EMR) systems to check patients in, update charts, schedule appointments, and maintain accurate documentation.
  • Register new patients and ensure all required forms and documentation are complete and accurate.
  • Collect copays and safeguard patient information in compliance with healthcare regulations.
  • Maintain secure, confidential medical records in accordance with federal, state, and local regulations.
  • Maintain a calm, organized, and welcoming clinical environment, including monitoring waiting areas.
  • Support daily operational efficiency through strong collaboration with providers and team members.
  • Perform general administrative duties such as filing, faxing, and supporting staff as needed.
