JOB DETAILS: LOCATION: Pacific Cancer Care - 15400 National Avenue, Suite 201, Los Gatos, CA 95032 SCHEDULE: Full-Time | Monday–Friday | 8-Hour Shifts | SALARY RANGE: $21-$30/hour, commensurate with experience START DATE: March 2026 BENEFITS: Benefit-eligible position, including: • Medical, dental, and vision insurance • Paid time off (PTO) • Retirement plan (401k) OPPORTUNITY OVERVIEW: Pacific Cancer Care is seeking a compassionate, highly organized, detail-oriented, and patient-focused Patient Services Coordinator to join our growing team. This role serves as the first point of contact for patients and visitors, handling check-in, payment collection, appointment scheduling, and overall front desk operations. The ideal candidate will have excellent communication skills, strong problem-solving abilities, and the ability to adapt quickly to new environments and workflows.

Requirements

  • High school diploma or GED — Required
  • Minimum of 1 year of experience in a healthcare front desk, medical scheduling, or administrative role – Required

Nice To Haves

  • Associate’s degree or MA certification — Preferred
  • Strong customer service skills with a warm, professional demeanor.
  • Excellent written and verbal communication skills.
  • Ability to prioritize tasks, adapt to changing needs, and maintain accuracy under pressure.
  • Proficiency in Microsoft Office and comfort learning new healthcare applications.
  • Knowledge of medical terminology.
  • Experience with insurance verification, authorizations, patient billing, and medical record collection.
  • Familiarity with medical oncology workflows.
  • Familiarity with OncoEMR or similar EMR systems.
  • Ability to work both independently and collaboratively as part of a multidisciplinary team.

Responsibilities

  • Greet patients and visitors with professionalism, courtesy, and a patient‑centered approach, ensuring a positive experience.
  • Check patients in for appointments, verify insurance information, and collect payments accurately and efficiently.
  • Obtain medical records and request authorizations as needed to support patient care and billing processes.
  • Schedule patient appointments, coordinate follow‑up visits, and conduct patient reminder calls as needed.
  • Maintain accurate and up‑to‑date patient records within the electronic medical record (EMR) system.
  • Answer incoming calls, respond to inquiries clearly and professionally, and route messages appropriately.
  • Coordinate with clinical staff to optimize schedules, patient flow, and clinic operations.
  • Demonstrate strong time‑management, organizational, and multitasking skills in a fast‑paced healthcare environment.
  • Utilize Microsoft Office tools and clinic systems effectively; learn new healthcare software as required.
  • Apply strong problem‑solving skills to troubleshoot scheduling or front desk issues, escalating concerns appropriately.
  • Ensure compliance with HIPAA and patient confidentiality standards at all times.
  • Perform additional administrative duties as assigned, including scanning, filing, and supporting other departments.
