About The Position

The Mass General Brigham Cancer Institute is expanding and opening a new ambulatory oncology clinic at Brigham and Women’s Hospital — and we’re building the front-line team from the ground up. In the role of Patient Services Coordinator III (PSC III), you will manage check-in and check-out processes, coordinate scheduling, support provider workflows, and serve as a key point of contact for patients navigating their oncology care. As volume ramps up and the program expands later this year, you’ll play a critical role in scaling operations and setting the standard for service excellence. Be part of a high-visibility expansion within one of the nation’s leading cancer programs — and help us deliver extraordinary care from the very first patient visit. Job Summary Summary Performs administrative functions to support smooth and efficient clinical service or practice operations. Performs administrative duties related to patient visits including scheduling, check-in, check-out duties (performs all duties of the other levels at highest proficiency level).

Requirements

  • High School Diploma or Equivalent required
  • 3-5 years office/customer service experience required, preferably in a healthcare setting
  • Strong technology and MS Office skills – Advanced Outlook, Word, Excel, PowerPoint
  • Knowledge of office operations and standards and understanding of office procedures including filing, copying, scanning, printing and faxing.
  • Ability to use phone system and manage more non-routine phone calls and solve routine issues as appropriate.
  • Communicating effectively in writing as appropriate for the needs of the audience and talking to others to convey information effectively.
  • Understanding written sentences and paragraphs in work related documents, to correspond and communicate with others clearly and effectively (including composing/editing e-mail, memos and letters), and to take complete and accurate messages.
  • Managing one's own time and the time of others.
  • Well organized and good time management skills to manage multiple tasks effectively, follow established protocols, and work within systems.
  • Ability to proofread and edit written documents.

Responsibilities

  • Make patient appointments and maintain appointment records.
  • Assist callers with routine inquiries and schedule appointments.
  • Acts as "Super User" for scheduling, registration and billing systems.
  • Provides assistance and training to others in these areas.
  • May perform more complex or specialized functions (i.e. surgical scheduling, schedule changes/blocking) at more advanced competency level.
  • May be required to accept co-payments.
  • Handles, screens and/or takes messages related to prior authorizations, provider questions, prescription refills, and test results.
