About The Position

The Patient Service Coordinator III (PSC III) serves as the front door and first impression for our clinics. This role is critical to delivering the most remarkable patient experience— in every dimension, every time . Requirements

  • High School Diploma or GED — Required
  • Minimum of one (1) year of clerical experience in a medical office setting — Required
  • Other related experience may be considered in lieu of direct medical office experience, provided it demonstrates transferable administrative, customer service, and healthcare-related competencies.

Responsibilities

  • Patient Registration Accurately enter complete patient demographic and insurance information at registration.
  • Greet patients professionally, verify and correct demographics and insurance details, copy insurance cards, and ensure documentation is added to the medical record.
  • Communicate demographic and insurance updates to appropriate departments.
  • Obtain updated patient registration signatures with date and ensure forms are scanned into the patient record.
  • Collect, enter, and reconcile patient co-pays in accordance with policy.
  • Patient Check-Out Verify patient charges in the electronic system at check-out and revalidate insurance information.
  • Schedule return appointments as appropriate and collect outstanding balances.
  • Run daily close reports and reconcile all cash, checks, and credit card transactions for each business day.
  • Verify and audit charges in designated work queues, correcting errors prior to releasing charges.
  • Complete individual and/or practice reconciliation reports, including preparation of bank deposit slips.
  • Scheduling Enter required demographic information for new patients and verify accuracy for established patients.
  • Schedule appointments based on patient preference, provider availability, and clinical urgency.
  • General Clerical Duties Perform routine clerical functions including filing, copying, and document management.
  • Answer telephones promptly, provide accurate follow-up, take messages, and communicate information appropriately.
  • Epic & Charge Entry Audit Resolve Epic work queues including, but not limited to: Follow-Up, Claim Edit, Charge Review (Audit and Review), and Missing Guarantor.
  • Research and analyze denials; correct errors to ensure accurate charge capture and timely claims processing.
  • Review charts, office notes, pre-authorizations, and supporting documentation to resolve errors and denials.
  • Work closely with practice coders and Revenue Cycle Advocates to support resolution efforts.
  • Serve as a registration and insurance accuracy resource for front desk staff.
  • Respond to patient, provider, and staff inquiries related to billing and insurance.
  • Assist providers with charge capture when needed.
  • Teamwork & Communication Collaborate effectively within the team to achieve patient care and operational goals.
  • Initiate and maintain regular, professional communication with co-workers.
  • Participate in staff meetings and contribute to identifying and implementing process improvements.
  • Human Experience Demonstrate courage by sharing innovative ideas to enhance patient and team experiences.
  • Round on patients to build meaningful connections and proactively communicate visit details, including delays or wait times.
