About The Position

The Patient Services Associate I is responsible for managing patient communications, primarily through incoming and outgoing calls. Key duties include reminding patients of scheduled appointments and instructions, scheduling new appointments, and pre-registering patients for medical scans. The role requires adherence to standardized processes and scripts to ensure accurate information exchange and high-quality customer service. The associate will be responsible for entering all patient data into the relevant computer systems and escalating calls to supervisors or leads when necessary. Requirements

  • High School Diploma or equivalent experience required.
  • 6 months to 1 year of medical or related training and/or experience required.
  • Computer literacy and experience with general office equipment required.
  • Strong multi-tasking abilities and communication skills.
  • Ability to work well with physicians, patients, and coworkers.
  • Excellent interpersonal and customer service skills.
  • The COVID-19 vaccination is/may be a condition of employment.
  • Successful completion of a pre-employment background check and drug screen as a condition of employment.

Responsibilities

  • Answer incoming calls and make outgoing calls to remind patients of scheduled appointment and instructions.
  • Schedule appointments and pre-register patients for medical scans.
  • Assist with scheduling and pre-registration calls based on business needs.
  • Follow standardized process to get and give information during scheduling/pre-registration calls according to documented work processes.
  • Make outbound reminder calls for medical scans.
  • Enter all information into the applicable computer system.
  • Determine the needs of other callers and transfer to appropriate personnel.
  • Ensure every customer receives the highest quality of customer service.
  • Contact patients and referring physician offices to schedule appointments.
  • Follow prescribed list of questions/scripts and provide standardized responses to get and give information during scheduling/pre-registration/reminder calls.
  • Ensure the gathering of accurate and complete patient data required to complete the scheduling process and any specific information required by customer facility.
  • Determine customers’ needs based on incoming calls; transfer callers to appropriate staff; escalate calls as necessary to Patient Services Supervisor or Patient Services Lead as appropriate.
  • Complete any additional job duties as assigned.
