About The Position

A busy and well‑established physical therapy clinic in Purcellville, VA is seeking a Patient Service Specialist (PSS) to join their team. This role is a critical part of the clinic’s operations and ensures that patients have a smooth, welcoming, and supportive experience from the moment they arrive. The Patient Service Specialist serves as one of the clinic’s primary points of contact, managing patient check‑ins and check‑outs, scheduling, answering calls, and supporting the therapists. You’ll be splitting your time evenly between: Phone work (33%) Computer-based tasks/EMR documentation (33%) Face-to-face patient interaction (33%) This role is perfect for someone who is organized, reliable, patient‑focused, and comfortable juggling multiple tasks at once. Requirements

  • Strong customer service experience
  • Healthcare or medical office experience
  • Insurance knowledge & verification
  • Patient registration experience
  • EMR experience
  • Ability to multitask in a busy environment
  • Comfortable with phones, computers, and face-to-face interaction
  • Must pass a standard healthcare background check
  • Comfortable working onsite in a busy front desk environment
  • Strong computer literacy (this is assessed in the interview)
  • This role requires availability for evening hours—candidates must be able to work until 7 PM consistently.
  • Reliability and punctuality are essential.

Responsibilities

  • Greet incoming patients and complete check‑in/check‑out procedures.
  • Register new patients and schedule follow-up appointments.
  • Assist patients with questions, paperwork, and general support needs.
  • Build rapport—this clinic values genuine conversation and connection.
  • Answer incoming calls and assist patients with scheduling, insurance questions, and general inquiries.
  • Document therapist notes and patient information into the clinic’s EMR system.
  • Handle competing demands—phones ringing, patients waiting, and clinicians requesting assistance simultaneously.
  • Work closely with physical therapists and clinical staff to ensure smooth operations.
  • Support the flow of the clinic by keeping accurate records, verifying information, and helping with operational needs as they arise.
