This position is responsible for creating the initial electronic health record, which forms the basis of the patient's medical record used by the entire healthcare team. A key aspect of the role is preventing duplicate medical records to avoid treatment safety issues and billing problems. The representative must ensure compliance with organizational mandates for positive patient identification prior to care delivery, thereby enhancing patient safety. The role also involves checking in and registering patients, accurately obtaining and verifying demographic, guarantor, and insurance information, and discussing/collecting co-pays and other patient financial responsibilities to ensure timely payment and prevent billing issues. Confidentiality of patient information is paramount, adhering to HIPAA regulations. The representative needs a foundational understanding of insurance plans, including commercial and government plans, and must know Advocate Health's contracted plans and when financial responsibility statements are required. They are expected to discuss financial obligations with patients and refer them to Financial Advocates when appropriate. Compliance with government agencies and regulations such as HIPAA, EMTALA, Consent for Treatment, Patient Rights, IMM, MOON, Notice of Privacy Practices, MSPQ, and ABN is also a critical part of the role, including obtaining necessary patient or guarantor signatures. Additional duties may include scheduling appointments, managing cancellations, reschedules, waitlists, and providing detailed information regarding test preparations, arrival times, and facility directions. The representative is also responsible for creating a welcoming environment, greeting patients and visitors, responding to inquiries, answering phones, and offering various assistance like arranging transportation or coordinating interpreter services. Finally, they monitor and manage assigned electronic health record work queues according to departmental processes.
