The Patient Service Coordinator III performs both administrative and clinical functions to ensure smooth and efficient clinical service or practice operations, working under minimal supervision. This role involves administrative duties related to patient visits, including scheduling, check-in, and check-out, performing all duties of lower levels at the highest proficiency.

Requirements

  • High School Diploma or Equivalent
  • 3-5 years of office experience
  • Strong technology and MS Office skills (Advanced Outlook, Word, Excel, PowerPoint)
  • Knowledge of office operations and standards, including filing, copying, scanning, printing and faxing
  • Ability to use phone system and manage non-routine phone calls and solve routine issues
  • Ability to communicate effectively in writing and verbally for the needs of the audience
  • Ability to understand written sentences and paragraphs in work-related documents, to correspond and communicate clearly and effectively (including composing/editing e-mail, memos and letters), and to take complete and accurate messages
  • Ability to manage one's own time and the time of others
  • Well organized and good time management skills to manage multiple tasks effectively, follow established protocols, and work within systems
  • Ability to proofread and edit written documents

Responsibilities

  • Perform routine administrative and clerical duties relating to a clinical service or physician practice office
  • Make patient appointments and maintain appointment records
  • Assist callers with routine inquiries and schedule appointments
  • Process patient billing forms and scan documents to patient medical record/LMR
  • Act as "Super User" for scheduling, registration and billing systems
  • Provide assistance and training to others in scheduling, registration, and billing areas
  • Perform more complex or specialized functions (i.e. surgical scheduling, schedule changes/blocking) at a more advanced competency level
  • Provide functional guidance to Office and Practice Assistants
  • In conjunction with Supervisor, oversee daily activities of practice staff
  • Accept co-payments
  • Handle, screen and/or take messages related to prior authorizations, provider questions, prescription refills, and test results
