Responsible for scheduling appointments as directed by referral, physician order or in response to patient requests. Responsible for scheduling office and procedural appointments for new and established patients. This position supports a team centered approach to the efficient and timely scheduling of patient appointments. Supervisory Responsibility: This position has no supervisory responsibilities. Key Responsibilities Update referral, demographic, and insurance information in the practice management database. Schedule office and procedure visits utilizing physician appointment parameters and preferences. Update referral and recall entries in practice management system. Make decisions regarding safe procedure preparation and scheduling based on physician preferences. Select preparation information to provide to the patient and provide verbal patient education for procedure preparation to supplement written information. Call preparation prescriptions to pharmacy when the patient will be unable to receive the prescription by mail. Communicate special appointment follow-up needed prior to the patient appointment to the clinical and/or endoscopy staff. (Examples include anticoagulant/antiplatelet or ICD instruction.) Provide patients with the appropriate forms, literature, and instruction. Document patient interaction, patient education, or other communication clearly and neatly. Communicate operational issues, day to day scheduling conflicts, potential issues with referring physicians etc. to Scheduling Manager, Endoscopy Manager, or Clinic Manager as needed. Evaluate referrals and direct messages against individual physician preferences and practice guidelines and initiates patient contact within 24-48 hours of request. Seek physician or manager assistance if referral falls outside of normal parameters. Notify referring physicians of patient appointments or inability to schedule patient. Specialty scheduling included but not limited to: BRAVO, CAP, EMR, ERCP, ESD, EUS, FMT, PEG, PNE, and Hospital appointments. Monitor wait list and reports for follow up appointments after clinic and endo. Monitor portal and g-reminders for patient communication. Assist with the optimizing use of physician or physician extender time by monitoring and condensing schedules. Pick-up tasks and portal inbox messages for central scheduling. Process hospital and contact patients for scheduling follow up and send all clinical follow up to the appropriate clinical team member. Able to maintain standards and professionalism during periods of fluctuating workloads. Provide professional service to direct customers of One GI in all interactions. Build effective working relationships with other team members. Manage daily tasks to ensure business needs are consistently met.
