About The Position

The Patient Representative for the UAMS Child and Adolescent Behavioral Health Center works under general supervision and provides comprehensive support for patient care activities. This position may meet, greet, and assist the public, answer telephones and/or may coordinate appointments, referrals, consults, tests, and/or procedures, check-in and register patients, check out patients, and collect payments and issue receipts, verify insurance coverage, and respond appropriately to the requirements of third-party payors. In addition, this position is responsible for counseling patients on their financial status and obligation; and identifying and referring patients and/or responsible parties to an appropriate sponsoring agency. They are responsible for processing high risk pre-certifications, developing and implementing denial avoidance plans and producing reports on revenue cycle functions within the various departments to ensure appropriate financial error reports are worked and corrected. The Patient Representative is expected to demonstrate competency in the job elements of all the levels of the Access Coordinator positions.

Requirements

  • Bachelor's degree or Associate's Degree with two (2) years of experience in business office administration, customer service, patient registration, billing, insurance, or scheduling, or High School Diploma/GED with four (4) years of experience in business office administration, customer service, patient registration, billing, insurance, or scheduling required.
  • Knowledge of medical terminology required
  • Must have excellent organizational and interpersonal skills in order to successfully interact with individuals of diverse backgrounds.
  • Well-developed decision-making skills are required.
  • Must maintain confidentiality and HIPAA compliance.
  • Highly motivated and self-directed individual to establish plans of action.
  • Highly proficient in computer and keyboard skills.

Responsibilities

  • Conducts scheduling for direct care staff; schedules, reschedules, and coordinates appointments using the appropriate hospital systems by performing visit notifications of patients, conducts or registers patients as needed, and inputs and/or updates accurate patient information.
  • Process walk-ins, create new patient charts, access systems for orders, work the patient portal, and maintain a tracker board for multiple departments.
  • Schedule procedures and/or tests as needed.
  • Issues school/work excuses, sends out no-show letters, and takes patient photos for the medical record. Responsible for blocking schedules as appropriate.
  • Receives new patient referrals; coordinates with referral source to obtain demographic information.
  • Conducts insurance verification and benefit explanation by running eligibility on patients, and performs ABN completion.
  • Conducts authorizations and pre-certifications, tracks pre-authorization, and maintains referrals.
  • Enter the benefit and authorization information in PCT. Obtains OON waiver and coordination of OON waivers.
  • Responsible for inputting daily and monthly statistics and communication about any medical records issues. Responsible for various reports as needed.
  • Collects and posts payments and issues receipts. Responsible for reconciliation/management of the change fund. Responsible for reconciliation of daily deposit & batch POS dollars, and must complete the deposit agreement.
  • Counsels patients on any and all related financial information ie. hospital discounts and reviewing Medicaid screening. Monitors patient balances using the matric payment methods. This position is also responsible for pre-counsel patients regarding the payment expectations for service.
  • Completes Epic workflow for new patients. Completes UB value codes, inputs daily charges, and reconciles charges. (Charge Entry may not be applicable in all areas; some areas utilize e-billing).
  • Performs inventory, ordering, and stocking supplies. Cleans and maintains equipment, maintains petty cash, picks up and delivers mail to the mailroom, ensures the waiting room is clean, stocked with educational information, and coffee.
  • Attends required training and/or in-services. Attends staff meetings and participates in the orientation and/or training of new staff. Participates in annual education needs assessment.
  • Maintains required job skill competencies and completes skill assessment annually. Completes and maintains documentation of continuing education hours annually.
  • Performs other duties as assigned.
