About The Position

The Patient Relations Administrator serves as a key point of contact for patients, addressing concerns, assisting with insurance and financial inquiries, and coordinating communication between patients and providers. This role manages and tracks patient records, enters clinical information into EPIC, and supports psychiatry clinic operations, including assisting with TAM‑APP protocols and TMS treatments under specialist guidance. The position also collaborates with multidisciplinary care teams, processes financial assistance applications, schedules appointments, and verifies insurance coverage—all while ensuring compliance with HIPAA and proper handling of PHI.

Requirements

  • Associates degree or equivalent combination of training and experience.
  • Three years of relevant experience in office administration or medical administration.

Responsibilities

  • Patient Communication and Resolution Listens, records, researches, and resolves patients' concerns
  • Corresponds with patients regarding insurance issues and financial matters.
  • Contacts patients to provide information regarding referrals and orders from the physician.
  • Collects, maintains, and tracks patient records.
  • Tracks and reviews patients’ progress and their account information.
  • Monitors and maintains quality incentive programs.
  • Psychiatry Clinical Duties Enters all patient information into EMR (Electronic Medical Records) EPIC Garder Plot Coordinates patient care through in person at front desk, by phone or electronically.
  • Acts as back up administrator and is trained for Texas A&M – Advanced Psychiatric Protocols(TAM-APP) specialty clinic.
  • Under the direction of a TMS specialist, operates and interprets the TMS machine.
  • Collaboration and Coordination Maintains effective collaboration and communication among all responsible parties of an individual patient’s multidisciplinary health care team.
  • Attends Weekly Clinic Operation meetings for updates in processes to collaborate with health care professionals.
  • Administrative & Financial Coordination Processes patient applications for financial assistance Contacts patients to schedule appointments as needed Verifies insurance benefits and obtains prior authorizations by communicating with insurance companies
