About The Position

The Patient Registration Specialist is the first point of contact for patients and visitors in a dynamic, multi-service clinical setting. This role is crucial in creating a positive patient experience and ensuring operational efficiency by supporting access to Primary Care, Dental, Optometry, Lab, Public Health Department, Pharmacy vaccine, and Purchased/Referred Care (PRC) department.

Requirements

  • High School diploma or its equivalent, GED and one (1) year related work experience; or certificate from technical school in medical field and six months related work experience; or equivalent education and experience
  • Must have a valid Texas Driver’s License and be insurable
  • Must be able to successfully pass a post-offer drug screen and criminal history background check
  • Knowledge of principles and processes for providing customer and personal services
  • Knowledge of administrative and clerical procedures and systems such as word processing, file and records management, and other office procedures and medical terminology and health care terminology
  • Knowledge of HIPAA and ability to ensures all activities comply with regulations and tribal confidentiality standards
  • ability to be professional and manage multiple calls
  • Ability to establish and maintain a medical filing system
  • Ability to communicate effectively in writing and orally
  • Must handle time wisely
  • Knowledge of programs and services provided at HHS
  • Knowledge of Microsoft Office Applications
  • Proficient with database systems and data entry
  • Knowledge of standard office equipment
  • Ability to work a multi-line telephone system
  • Ability to maintain and safeguard confidential information
  • Must be culturally sensitive to Native American populations

Responsibilities

  • Welcomes and assists patients and visitors in a professional and culturally sensitive manner, enhancing access to services and patient satisfaction
  • Coordinates patient access and registration functions for all clinical and program services
  • Accurately enters and maintains patient demographic, insurance and scheduling data in RPMS, Moonwalk and Vista Imaging Systems
  • Verifies insurance coverage and assists patients with Primary Care Provider assignments and completion of coordination of benefits using appropriate portals
  • Determine the priority of patients’ needs to identify when immediate appointments are necessary or when patients can be accommodated within the current schedule
  • Manages provider schedule adjustments and communicates appointment changes to patients for continuity of care
  • Monitors and acts on the no-show list to reschedule missed appointments to maintain service efficiency
  • Responsible for patient check-in and check-out processes for clinical services ensuring a seamless experience across all service areas
  • Supports front desk operations, including document scanning, call handling, and mail distribution
  • Collects patient co-payments, provides receipts, and ensures accurate and secure processing of transactions in accordance with clinic policies
  • Assists patients with the completion of registration packets, medical and dental history forms and insurance documentation ensuring accuracy and completeness
  • Serves as a communication hub for the facility, managing after-hours messages and distributing relevant information to appropriate departments
  • Maintains reception area clean, safe, and welcoming
  • Provides logistical support for special activities and events such as health fairs, community outreach events and emergency preparedness
  • Other position related duties as required and assigned
