About The Position

The Patient Reception Representative plays a crucial role in ensuring a smooth and efficient patient experience at Capital Health. This position involves managing multiple phone lines, scheduling appointments, and handling patient registrations while adhering to healthcare regulations and policies. The representative is responsible for greeting patients, collecting payments, and maintaining accurate patient records, all while providing exceptional customer service in a fast-paced environment.

Requirements

  • High School diploma or equivalent.
  • One year experience as a receptionist or clerk in a healthcare environment or one year of customer service experience.
  • Familiarity with medical terminology, ICD-10, and CPT codes.
  • Excellent communication and interpersonal skills.
  • Proficient computer skills and basic Microsoft Office skills.

Nice To Haves

  • Medical assistant or medical office technician certification preferred.
  • Familiarity with Excel spreadsheets.

Responsibilities

  • Answer telephones promptly and courteously, handling multiple phone lines.
  • Route patient calls efficiently to the appropriate area or individual.
  • Schedule and cancel appointments according to established office guidelines.
  • Prepare new patient charts and paperwork at patient presentation.
  • Greet all patients and visitors in a professional and welcoming manner.
  • Inform patients of privacy policies and procedures, and delays in physician schedules.
  • Perform registration to ensure accurate demographic and insurance information.
  • Collect co-payments and outstanding balances at check-in and check-out.
  • Review and comply with Patient Account Notes and Appointment Notes in the system.
  • Confirm charges and approve claim creations in the system at Check-Out.
  • Schedule follow-up appointments and create appointment ticklers in the system.
  • Complete referrals and pre-authorizations as required.
  • Perform clerical duties including processing mail and confirming appointments.
