The Patient Intake Team Lead is responsible for performing a wide variety of activities including but not limited to: initiating patient intakes; scheduling appointments; performing insurance screening and verification/authorization processes; patient registration; handling a high volume of customer calls/inquires; responding to medical records requests, billing inquiries, preparing reports and maintenance of department records. In addition, assisting the department leads to oversee the day to day workflow of patient intake representatives (PIR), assuring that all pertinent tasks are completed by PIRs efficiently and accurately, taking a lead role in motivating the teams to meet and exceed departmental goals and navigate through current and new department initiatives. Assists in initiatives for the growth and development of PIRs and the department.

Requirements

  • High School diploma, general equivalency diploma (GED), and/or GED equivalent programs.
  • Minimum of 2 or more years of experience as a patient intake representative or equivalent in a medical office.
  • Minimum of 1 year experience in department.
  • Excellent written and verbal communication skills.
  • Proficient computer skills that may include but are not limited to Microsoft Office and/or Google Suite platforms.

  • Associates degree of medical office certificate.

Responsibilities

  • Assures prompt, efficient scheduling, insurance verification, and authorization, and registration processes on a daily basis to achieve daily productivity goals. Assess workflow and adjust as necessary to meet these goals.
  • Assists department leads in setting/adjusting daily priorities to address workload and staffing fluctuations including coverage to satellite offices.
  • Assists manager in orienting and training PIRs in all office functions and ongoing training for current staff.
  • Assist manager in conducting huddles to address safety and workflow updates and issues.
  • Stay current with industry related changes including scheduling or insurance needs and assist the department leads in implementing new processes and adjust existing processes.
  • Communicate all pertinent information to customers at initial and subsequent contacts and fields department call volume from patients and referral sources. Assures daily voicemail monitoring and follow up. Communicates effectively on all levels - physicians, supervisors, patients, referral sources - ensuring prompt and appropriate action by the team.
  • Facilitate accurate intakes, insurance verification, authorization and registration process and provide team and individual feedback for performance for improvement.
  • Collect and report scheduling and insurance work in progress and share with the team, identifying needs of improvement and developing action plans.
  • Performs PIR essential job functions and act as a resource to the PIR team.
  • Assists with preparing for and implementing marketing strategies, open houses, lectures, health fairs, etc. Actively participates in department PI initiatives to enhance attainment of department goals.
  • Team member may need to travel to various sites.
  • Other duties and/or projects as assigned.
