About The Position

The Patient Intake Specialist serves plays a critical role as a liaison between prescribers, internal team members and patients to ensure patient access by processing orders including but not limited to: confirming all order requirements received, creating sales orders, and monitor for product delivery.

Requirements

  • A proven track record of at least 2 years medical office, medical device or DME experience preferably with patient intake process.
  • High School Diploma or equivalent
  • EMR/Practice Management System experience, DME-specific preferable
  • Experience verifying eligibility and benefits a plus
  • Exceptional organizational and prioritization skills with a strong track record of meeting strict deadlines
  • Demonstrated excellence in customer service delivery.
  • Exceptional capacity for follow-through, organization, and meticulous attention to detail.
  • Ability to quickly adapt in a rapidly changing environment
  • Proven ability to work independently and collaboratively in team settings.

Responsibilities

  • Assure receipt of all necessary documentation, as it relates to payer requirements, standard operating procedures, and compliance programs.
  • Provide clear and accurate communication with Field Representatives and/or physician offices to obtain any additional documentation necessary.
  • Perform accurate data entry in medical billing software and/or CRM to create an order including: patient demographics, prescribing physician information, insurance payor information, diagnosis codes and products.
  • Utilize NPI Registry, PECOS and OIG database to validate referring physicians' qualifications.
  • Accurately prepare required documents such as Delivery Tickets and Sales Orders and ensure receipt by Field Representative prior to product delivery.
  • Monitor orders for receipt of signed and dated Delivery Tickets.
  • Answer inbound calls and return voicemails in a professional and timely manner.
  • Maintain confidentiality of patient health information and adhere to HIPAA guidelines.
  • Provide exceptional customer service to patients and providers through friendly, caring, informative, and professional interactions.
  • Rotate to cover on-call or off hours coverage as required.
  • Perform other duties as assigned by management which may include verifying eligibility and benefits and general patient support.
