About The Position

The position involves greeting families, checking patients in and out, obtaining insurance information, and accurately entering data into the computer system. The role also includes assisting with scheduling, answering phones, emails, and staff messages, processing payments, and scheduling follow-up appointments efficiently and accurately. The ideal candidate should be detail-oriented, great at multi-tasking, and possess strong customer service skills.

Requirements

  • High School diploma or equivalent required.
  • Experience using computer-based software, including Microsoft Office, required.
  • Accurate data entry with numbers and letters, and the ability to spell medical terms correctly required.
  • Excellent verbal and written communication skills required.

Nice To Haves

  • Medical terminology course or equivalent preferred.
  • One year previous experience in Patient Access or Billing preferred.

Responsibilities

  • Collect co-payments for insurance or co-insurance and issue receipts.
  • Print detailed billing statements when requested.
  • Reconcile cash drawer daily.
  • Gather information to communicate with the central billing office on behalf of families.
  • Answer billing questions promptly and efficiently.
  • Verify all mental health benefits for appointments via phone, fax, and websites.
  • Obtain authorizations and reference numbers when required.
  • Document benefits in the current computer system.
  • Provide financial assistance applications based on patient needs and price estimates for treatments.
  • Obtain signatures on all forms pertinent to the patient’s current visit.
  • Receive and process new patient referrals and explain the process and services provided.
  • Scan and label insurance authorizations, checklists, evaluations, lab results, and other reports into the correct patient’s chart.
  • Adhere to all confidentiality policies and procedures based on department guidelines.
  • Follow check-in and check-out processes for all in-person and virtual appointments.
  • Verify and capture all required information.
  • Scan identification, insurance cards, and communication forms.
  • Accurately schedule, reschedule, and cancel appointments as needed.
  • Be aware of all providers' scheduling preferences.
  • Schedule interpreter services when needed.
  • Answer calls professionally and promptly.
  • Monitor department voicemail regularly and take detailed messages.
  • Regularly check patient portal messages, department email, and staff messages for tasks that need completion.
  • Demonstrate a willingness to meet department work schedule.
  • Integrate and demonstrate CORE values and Expectations for Personal and Service Excellence.
  • Balance team and individual responsibilities and contribute to positive team goals.
  • Practice knowledge of DNV, HIPAA, OSHA, and other federal/state regulatory agencies guiding healthcare.
  • Demonstrate knowledge that patient and workplace safety is a priority.
