About The Position

This is a full time position requiring 40 hours per week. The role is onsite with standard working hours 8:30AM-5PM. We believe in maintaining a healthy work-life balance while ensuring business needs are met.

Requirements

  • 2-3 years of experience in a healthcare setting, preferably within a plastic surgery or dermatology practice.
  • Strong organizational and multitasking abilities.
  • Exceptional interpersonal and communication skills, with a compassionate approach to patient care.
  • Proficiency in Microsoft Office and electronic medical records (EMR) systems.
  • Knowledge of patient rights and medical-legal requirements for information release.
  • Familiarity with medical terminology, particularly in plastic surgery and dermatology.
  • Ability to maintain patient confidentiality and adhere to ethical standards.
  • Team player with the ability to work independently.
  • Commitment to providing exceptional patient care and service.

Responsibilities

  • Schedule initial consultations, following the strategic steps outlined in the Patient Care Specialist Guide to discuss patient goals, surgical timelines, and financial budgets.
  • Greet and room new patients at their consultations, ensuring a smooth experience by adhering to the new consult flow in the Patient Care Specialist Guide.
  • Present detailed surgical quotes to patients, addressing any questions or concerns.
  • Manage patient inquiries, follow up with leads, and track their progress using CRM lead management software.
  • Oversee the preoperative process, including scheduling Preoperative appointments and creating comprehensive Preoperative Checklists & Packets (both electronic and hard copies) for patients.
  • Order necessary labs and preoperative testing, ensuring timely and accurate results.
  • Send Surgery Scheduling Forms, lab results, and consult notes to the surgical center to ensure seamless coordination.
  • Manage all aspects of patient payments, ensuring accuracy and timeliness.
  • Input and facilitate the submission of prescription medications, coordinating with pharmacies and patients as needed.
  • Assist in ordering medical supplies and surgical garments, ensuring availability for upcoming procedures.
  • Take and upload patient before-and-after photos, maintaining a visual record of their progress.
  • Maintain patient charts with up-to-date medical records and thorough documentation, ensuring compliance with clinic policies and regulatory standards.
  • Follow up with patients’ post-surgery to provide support, address any concerns, and gather feedback to enhance their experience.
  • Encourage and facilitate patient reviews to contribute to the clinic’s reputation for excellence.
  • Handle incoming calls with professionalism and empathy, providing accurate information and directing inquiries to the appropriate team members.
  • Implement and manage sales strategies to drive revenue and contribute to the growth of the center.
