Job Description: Essential Duties and Responsibilities • Schedule, confirm, and manage patient appointments across multiple providers, ensuring optimal utilization of clinic schedules. • Serve as the first point of contact for patients in person and via phone, addressing inquiries and routing requests to appropriate staff. • Verify patient demographics, insurance information, and referral authorizations prior to appointments. • Collect and enter patient information accurately into the electronic health record (EHR) system. • Coordinate referrals and pre-authorizations with insurance carriers and specialist offices. • Communicate appointment reminders, preparation instructions, and follow-up care information to patients. • Collaborate with clinical staff to ensure smooth patient flow and minimize wait times. • Handle patient concerns, complaints, and feedback professionally, escalating issues as necessary. • Maintain accurate and up-to-date records of patient interactions and appointment outcomes. • Consistently meet productivity and quality standards while maintaining good attendance. • Other duties as assigned. Education and Experience • High school diploma or equivalent required. • 2 years of experience in a medical office, clinic, or healthcare setting preferred. • Experience with electronic health record (EHR) systems preferred. • Knowledge of medical terminology, insurance verification, and prior authorization processes preferred. Knowledge, Skills, and Abilities • Exceptional patient service skills with a compassionate and professional demeanor. • Strong organizational and time management skills to handle a high volume of patient interactions. • Ability to work independently with minimal supervision in a fast-paced clinical environment. • Effective verbal and written communication skills to coordinate with patients, providers, and staff. • Attention to detail in managing scheduling, documentation, and insurance processes. • Ability to maintain patient confidentiality and adhere to HIPAA regulations at all times. • Problem-solving skills to address scheduling conflicts, patient concerns, and workflow challenges. • Positive attitude with a commitment to high-quality patient care and satisfaction. • Ability to remain calm and composed when managing difficult or sensitive patient situations.
