Location: Corporate Home Office, which is located in Addison, TX (Near Beltline & Tollway) Schedule: Full-Time | Monday–Friday | Required to work onsite in-office during initial 90 day training period, with potential to transition to hybrid role based on performance About Behavioral Innovations: For over 25 years, Behavioral Innovations (BI) has been transforming lives by providing compassionate, individualized, center-based Applied Behavior Analysis (ABA) therapy for children with autism ages 18 months to 10 years. With 100+ locations across TX, OK, CO, VA, and MD — and expansion into 4 additional states within the next 18 months — we’re experiencing significant growth and doubling in size. Your Role and What You'll Do: As a key member of the BI team, the Patient Coordinator is responsible for managing the patient and family journey from initial inquiry through completion of the diagnostic evaluation and transition to appropriate next steps. This role serves as the primary point of contact for families navigating the autism diagnostic process and ensures a coordinated, timely, and compliant experience across clinical, operational, and administrative functions.

Requirements

  • High school diploma or equivalent is required. Bachelor’s degree preferred.
  • Experience with Intake, scheduling, call center, and/or sales environment as you will be receiving inbound calls/making outbound calls and using other forms of communication to prospective clients who have requested information about our service.
  • Experience with Salesforce and Electronic Medical Records (EMR) systems is preferred.
  • Must be comfortable working in a fast-paced, continually changing, and results-oriented. environment as part of a rapidly growing organization.
  • Strong written and verbal communications skills required. Bi-lingual preferred.

Responsibilities

  • Serve as the primary point of contact for families from initial inquiry through diagnosis and transition into ABA services.
  • Establish and maintain professional, supportive relationships with families.
  • Educate families on the diagnostic process, timelines, and next steps.
  • Educating families on the benefits of ABA services.
  • Conduct qualifying conversations to assess eligibility and care needs.
  • Manage assigned caseloads aligned to providers and/or markets.
  • Coordinate and schedule appointments.
  • Conduct appointment confirmations and follow-ups.

  • Verify insurance coverage and benefits.
  • Collect co-pay and patient financial responsibility per company policy.
  • Document payments accurately in designated systems.
  • Collect and verify all required patient documentation.
  • Maintain accurate records in Salesforce, EMR, and related systems.
  • Ensure HIPAA compliance.
  • Coordinate handoffs for applied behavior analysis services (ABA) or provide external resources.
