The Patient Coordinator is responsible for performing a variety of customer service and patient care tasks to ensure a positive patient experience. This role ensures documentation and patient records are prepared and organized, and that patients have a clear understanding of what to expect during and after their appointment. Specific duties include greeting and assisting patients, customers, and visitors in person and over the phone, performing patient registration in various systems, and answering all phone calls professionally. The coordinator may collect monies for time-of-service patient responsibility and may be responsible for verifying insurance coverage and obtaining prior authorization. Patient assistance duties may include preliminary screening of patients prior to procedures (including medical history), transporting patients to/from the exam room, assisting in patient transfer on/off the exam table, and providing preliminary and post-procedure instructions. The role also involves work area and supply preparation, such as assisting in preparing a mobile unit for transport, maintaining a clean and organized work area, and potentially ordering supplies. Documentation responsibilities include ensuring accuracy of patient records, scheduling appointments, obtaining insurance verification/authorization, preparing medical records, and ensuring accurate documentation of patient visits in electronic systems and written documents. The coordinator may also assist clinical staff with documentation and image delivery and must perform all duties within HIPAA regulations. Other duties may be assigned.
